Chase Credit Card Sub Accounts

My employer pays the credit card with either a transfer or mobile pay. I am never aware when the payment is made until it uploads into QB. So now I have payments showing in the sub account and not my parent account. Is there a way to apply that payment to the parent account? Do I exclude it, I am so confused. It does not make for an easy way to balance all the accounts I have. Any suggestions will help.

I can help you in handling these transactions, llee75.

Your financial institution (Chase) controls what and how information is received by QuickBooks. Since some payments are downloaded to the sub-account, you'll want to transfer them to the parent account. This way, it would easier for you to manage the balances. I'll show you how:

  1. Select Banking from the sidebar menu.
  2. Go to the Banking tab, then choose the appropriate credit card account.
  3. Find and click the payment to expand the view.
  4. Choose Record as transfer, then select the parent account from the Transfer account drop-down menu.
  5. Add a memo if applicable, then click Record transfer.

Alternatively, you can exclude the payments and then manually upload them to the parent account.

I am going to work on it tomorrow. Before I start, do I change it to a transfer from the main bank account, or in the sub account? Once I get started I will let you know how it works out for me.

Thank you!

Thanks for getting back to us here in the Community, @llee75. Let me share further details about transferring payment transactions in QuickBooks Online (QBO). This way, you can easily manage and monitor your account balance and business expenses.

QuickBooks receives read-only data from your financial institution (Chase). You're able to change the downloaded payments linked account by transferring them to the appropriate one (from the sub-account to the parent (main bank) account). You can refer to the steps above to complete the process. Then, please see the screenshot below for your reference.

Also, you'll have to review and/or match your downloaded payment transactions to the existing entries in QuickBooks. This is to keep your account updated. For the step-by-step guide, kindly refer to this article: Categorize online bank transactions in QuickBooks Online.

Additionally, I'd recommend reconciling your Chase credit card account every month. This is to monitor your expenses and detect errors accordingly. To learn more about this, you can refer to this article: Reconcile an account in QuickBooks Online. It also includes information about editing completed reconciliations.

Let me know how it goes in the comments below. If you have other banking concerns or inquiries about managing transactions in QBO, I'm just around to help. Take care always.
