Client Closing Business - Info to pull from QBO

I have a client who will be closing his business as of the end of December 2022. Since that will include closing his QBO account, I am wondering what reports and information I should download from QBO for his records. His company is an LLC filing as a pass-through (not a Sub-S) for income tax purposes. I have never had to deal with a client closing his business before so I am curious as to what info others have downloaded from QBO or what Intuit recommends. Thanks

Hi there, @AnitaSD.

 

For audit purposes, it's necessary to save a copy of the general journal. I suggest exporting them in date range segments, like Jan-Feb, Mar-Apr, etc. There are also reports you can download for record-keeping purposes. That includes the following:

 

  • Profit and Loss
  • Balance Sheet
  • Sales Tax Liability
  • Statement of Cash Flows
  • Inventory Valuation Summary
  • Customer Balance
  • Vendor Balance

 

Here's how to export them:

 

  1. Go to Reports.
  2. Search for and select the report you want to export.
  3. At the top of the report, click the Export icon. Then, Export to Excel.
  4. Save the file somewhere you can easily find it, like your Downloads folder or your desktop.

 

You can also select Export Data from the Gear icon. It includes a batch of reports (5) and lists (3) that you can export to excel with one click. If you need more specific ones, you'll need to export them separately.

I have a client who has closed thier doors over a year ago but I still am paying a subscriptioon for them. I do not need any of the data as that has already been provided but I need to cancel the subscription permanently without any transfer of payment.

I appreciate you for following the thread, @zoe478. Let's work together to permanently cancel your client's subscription in your QuickBooks Online (QBO) Accountant.

 

We can permanently delete clients if you're the primary administrator for your QBO Accountant firm. Doing so will lose all your access to their company or complete any work in areas like tax preparation.

 

To remove a client: 

 

  1. Remove the client from the ProAdvisor discount plan if they're a part of it. 
  2. Sign in to your QBO Accountant account as an admin.
  3. Click Clients.
  4. Select the name of the client you want to delete.
  5. From the Edit client dropdown, select Delete permanently.
  6. Click Yes to confirm.

 

Clients have read-only access to their QBO firm once you remove them. They can see their accounting data but are unable to edit or make changes. 

 

When a client invites you to their company as their accountant, you connect their QBO company to your firm. This way, you can review their books and make edits. When I tried this I got the following message and I don't know where to go from here.

You can't delete a client who made you their Primary Admin. To delete them, change your admin level.

It's important to keep your client list updated, @zoe478. I'm here to share some tips to make sure the client is deleted from your firm.

 

When removing clients in QuickBooks Online Accountant, you'll have to log in as the primary admin. Based on your situation, I suggest communicating with your customer and requesting them to remove you as their accountant or as one of the users. Have them follow this step to delete:

 

  1. Go to Settings and select Manage users.
  2. Click on the Accounting firms tab.
  3. Find the accountant you want to remove.
  4. Hit the small arrow dropdown in the Action column and then choose Delete.
  5. Click on Delete to confirm.
