Client overview

When I go into "Client Overview", then down to "Transaction Volume", what makes up the number of "Bank Account Transactions"?  I can click on the other selections (sales receipts, invoices...) and I can see what is in each of those sections.  But the "Bank Account Transactions" doesn't have a link to take me to this.  We're not hooked up to the bank, so it's not downloads from the bank and the number is not a sum of the other selections.

You're correct, the placement of the Bank Account Transactions is on top of the other data categories. However, the amounts shown for those transactions and invoices, for example, are separate from each other. Looking at the screenshot provided by the previous agent, the two invoices aren't part of the eight bank account transactions.

The Bank Account Transactions section, found under Transaction Volume, provides a comprehensive summary of the total number of transactions associated with bank accounts at a specific period selected from the date filter. It's important to note that this area is distinct from other data categories, such as invoices, expenses, and bank deposits, which are each independently tracked and reported. As a result, the number displayed in each of the other categories does not comprise the total transactions shown in the Bank Account Transactions field. I'll be sharing a sample screenshot for your reference.

Based on the image provided above, the total number of bank account transactions displayed is 8. This figure reflects the combined count of various financial activities that are linked with the bank accounts you have set up in QuickBooks. Specifically, this count includes:

  • 4 Bank Deposits: These are transactions where funds have been deposited into your bank accounts. Each deposit is recorded and reflected in the total bank account transactions.

  • 1 Invoice Payment: This payment has been deposited into your bank account and is included in the transaction total.
  • 3 Expenses: These are transactions where funds have been spent or paid out from the bank account, covering various business expenses.


Each of these transaction types is directly linked with the bank accounts you've added in QuickBooks, contributing to the total count displayed. 

However, it's important to note that the total bank account transactions of 8 do not include the following:

  • Bills: In QuickBooks, bills are recorded separately under the Accounts Payable (A/P) section. Bills represent amounts your business owes to vendors or suppliers and are not directly reflected in the bank account transactions until they are paid. By default, bills are tracked under the Accounts Payable account and do not appear in the bank account transactions total until a payment is made.

  • Invoices: Similarly, invoices are recorded in the Accounts Receivable (A/R) section. They document amounts owed to your business by customers and are not included in the bank account transactions until payments against those invoices are received and deposited into the bank account. Invoices are under the Accounts Receivable account and only impact the bank account transactions when payments are processed.

Additionally, this section does not contain a hyperlink. It's just working as designed. However, all the other selections are clickable and lead to their respective report and transaction records.

Thanks for your quick response, Camelle.  Am I understanding correctly that the Bank Account Transactions are on top of the transactions in each of the other data categories?  I'm trying to figure out how many total transactions a bookkeeper would be doing each month and want to make sure I don't double count the amount.
