combine like items on invoice

My company often invoices things like Pilot Services: Meals multiple times on one invoice for multiple billable expenses. Is there a way to combine these billable expenses into one line on the invoice that says Pilot Services : Meals instead of having five different charges showing on the invoice for the same category?

combine like items on invoice

Hello, @jhughes517.

I understand that combining billable expenses when creating an invoice would be of great convenience for you and your business. However, it's currently unavailable in QuickBooks Online.

You may consider creating a bundle item to group your products and services.

Here's how:

  1. Go to the Sales tab, then Products and Services.
  2. Select New and choose Bundle.
  3. Check the box for "Display bundle components when printing or sending transactions."
  4. Add the products or services in the line items. (You can add more by clicking on Add lines.)
  5. Don't forget to Save and Close.

When creating an invoice, choose the bundle item you've set up in QuickBooks.

You can also send your feedback to our product engineers. This way, they can consider adding this feature in future updates.

Here's how:

  1. Click the Gear icon in the upper-right corner.
  2. Select Feedback under Profile.
  3. Share your feedback.
  4. Click Next to submit.

I've added an article you can refer to on how to receive and record invoice payments: Record invoice payments in QuickBooks Online

Let me know if you have further questions about tracking your expenses. I'm just a reply away. Keep safe!

We used to have this functionality in QBO. Now it seems to have disappeared. But we could rename items for example all the meals called "Meals" and it would show up as a single line item Meals with the combined amount on the invoice.

Strange that it has gone away - did QBO think this was not useful?

The option to combine the same items on the invoice is unavailable, DH3.

I know that this feature could help speed up your data entry. While the feature is not yet available, you can consider creating a bundle item as a workaround. You can follow the steps provided by my colleague above.

We are constantly working to enhance our software. You can consider sharing your ideas directly with our product engineers. They review customer suggestions and consider adding new features or reinstating functionality.

Here's how:

  1. Go to the Gear icon at the top.
  2. Select Feedback.
  3. Enter your comments or product suggestions. Then select Next to submit feedback.

In addition, check out these resources that cover receiving invoice payments accordingly and personalizing your sales forms:

combine like items on invoice

It is very sad that for over 4 years, people have been begging for QuickBooks to bring back the option to combine unbilled charges into one line item on an invoice.

Every solution online, doesn't work for me.

I have already let our IT Manager know that I will be searching for a new service to use.

I have some projects that have 50+ unbilled charges that need to be made into one line item. This varies by customer/project.
