Convert a file from QuickBooks Enterprise to Quickbooks Desktop Pro

Hello there, RodenA.

I'll make sure to provide a few details about opening a file from QB ProPlus to QB Enterprise.

When it comes to opening company files, they need to be opened in the same version as the one the company file originated from. Since you're using QuickBooks Enterprise and your client is using QB Pro Plus, the option to open the file in your version isn't available.  Also, you'd need to get a copy of QB Pro Plus in order to do it.

In your free time, you can read through these articles for more tips and details:

Convert a file from QuickBooks Enterprise to Quickbooks Desktop Pro

Hi there, @cnmnon11.

Yes, you can convert your QuickBooks Desktop (QBDT) Enterprise file to QuickBooks Online (QBO). I'll guide you on how.

  1. Sign in as an admin to the company file you want to import.
  2. On your keyboard, press Ctrl 1 to open the Product Information window.
  3. Press Ctrl Q, then select OK to display the export window.
  4. On the export window, select Get started.
  5. Sign in as an admin to your QuickBooks Online company.
  6. If you track inventory in QuickBooks Desktop:
  7. Select the Choose online company dropdown, then select the QuickBooks Online company you want to be replaced by your company file.
  8. Select Continue.
  9. Enter “Agree” in the text field, then select Replace.
  10. Hit Yes, go ahead and replace the data, then select Replace.

Once your data is available in QBO, you can review the details to ensure a smooth migration.

On the other hand, restoring your file from QBDT Enterprise to the other version of QBDT may vary. You can convert the file into a higher version but downgrading it is unavailable.

If you have any other questions while converting your file, let me know by adding a comment below. I'm always here to help. Have a good one!

Convert a file from QuickBooks Enterprise to Quickbooks Desktop Pro

Hi....I don't  use any advanced features in Enterprise. I was told that I can simply convert my company file from Enterprise to QB Desktop Pro Plus quite easily using the Quickbooks tool hub....can you please confirm if this is correct ? Is it a simple process and then I can start using QB Pro Plus instead ?

Allow me to share some information about the conversion and guide you on what to do, sunnysd.

There are certain company file limitations when you'll want to upgrade or downgrade to another product, version, or edition. You can upgrade Pro company files to Enterprise Solutions (ES), but you're unable to open ES company files in Pro or Premier. You may want to check out a conversion tool or third-party application that will help you migrate your data to the QuickBooks Desktop version that you want to use.

For more information about company file compatibility, go through this article for more information: Company Files Compatibility With QuickBooks Desktop When Upgrading

Additionally, you may also want to know more about QuickBooks Desktop, please see this article for your reference: QuickBooks Desktop Help Articles

Fill me in if you have any concerns about the process. I'll be right here to help you.

@sunnysd

Who told you that? We are using QB ToolHub to fix something, not for downgrading a QBD Enterprise file to QBD Pro/Premier file. You have to use a 3rd party tool or purchase a 3rd party downgrade service. Contact us for assistance.

Hi....yes I did it with a quickbooks agent yesterday using the tool hub. it worked.

Note however I do not use any advanced features in enterprise...so the conversion was easy.

First you need to buy the QB Pro License, download it. Then download the tool hub. You then take your company file and convert it with an agent over the phone using a special one time code they give you over the phone.

I did not need to use a 3rd party.

@sunnysd

On which menu we have to upload the company file and apply the one time code?

You to Tool Hub > Company File Issues > File Doctor > select the QBW enterprise file > select advanced options > I forget what we did after that, but just 1 or 2 more steps and the one time code

Who does QuickBooks recommend as a 3rd party to convert QB database from enterprise to pro?

@sunnysd I just wanted to take a moment and thank you for sharing this info. I had a client using QB 2020 Enterprise on a cloud server, and they just purchased 2022 Pro Plus to run locally in their office. I opted to make a backup copy of the 2020 data on the remote system and copied it to the local pc. In addition to your directions listed above here's a brief summary of what I had to do with the QB support agent.

  1. After selecting the company file to convert press Ctrl + A
  2. Select Perform task with an agent
  3. Enter in the main QB email used for registration and the support agent will give you a one time passcode
  4. Provide the QB company file Admin username and password to start the conversion

The whole process took me roughly 30 min and successfully created a qbw file. I was able to open the company file in 2022 Pro Plus. I then opted to make a local backup, and a warning popped up saying that "QB found some problems with the company file...." and suggested running the Rebuild Data Tool (file > utilities). After the utility completed it said there were 0 errors.

There was no cost for Intuit support since it's built into the subscription costs. I hope this helps other users out and saves them from paying $200-$300 (or more) for a conversion.

Quickbooks support can help you convert your file at no cost.

I've been a pro-advisor for ages.  I have a couple ideas.  I've got this problem myself since my own files are on Enterprise but thanks to the TIER pro-advisor program, I no longer get Enterprise updates as part of my exorbitant software fees! To keep my payroll running, I've got to downgrade.

I recommend starting a new company file based on the old company file and copy the chart of accounts and as much information as it will let you. This option is available on version 2022 (I don't know about anything older). Using excel and the import/export features then set up your vendors and customers (parts if you have them).  The basics of the employees will come over, but there will be much payroll set up for tax payments etc. yet to be done. The Starting balances can be journaled  in for most accounts.

I have found that re-entry of open invoices for the A/R and A/P (for small business) can be faster than fussing with 3rd party or import/export  features that are available.

If the vendor and customer list are outdated, you can edit this list in Excel prior to importing it into your fresh new company so you can clean up a bunch of old trash on your lists and cure out of balance errors on the balance sheet.  The Enterprise Solutions detail of the transaction history will still be there - comparative reports will be a problem at first since the old history will be in the Enterprise file.  After a fiscal year - it should be smooth sailing.

For large businesses I would recommend hiring an expert who is experienced and allowing them their 3rd party software of choice to help you with the coversion.

This would work well for small business.  There will be no inventory tracking.  The Payroll will have to be set up from scratch and the QB online payroll is the WORST!  If you make certain easy payroll mistakes in the QBO, only an Intuit professional can fix it.  Converting to online and then back to desktop would be a waste, since the export/import tools would achieve the same thing without waiting or extra steps,
