Covert Two Companies into One

We are running two companies in QuickBooks Desktop.  We would like to merge the companies together (they share an EIN #) into one company.  Is it possible? Would it be easier to do this before migrating to QuickBooks Advance Online or to perform it while still using QuickBooks Account Desktop?  I heard Transaction Pro may be helpful.  Anyone done this before?  All help is appreciated.  Thanks

We're glad that you joined us here to ask about file management in QuickBooks Desktop, Pennie3p. Allow me to jump in and offer my help.

There's no option to merge two separate company files in QuickBooks Desktop. Combining two accounts is also not available in the online version.

However, I can suggest some alternative approaches for you to explore.

One option is to export the lists from the first file and import them into the other one. This includes exporting and importing lists such as your Chart of Accounts, customers, vendors, inventories, employees, sales reps, and other names.

Here are some helpful articles that provide more details on this process:

Next, you can look for accredited third-party apps that offer services or features that can merge company files. You can visit this site for more details: https://desktop.apps.com/home.

The apps that you can see on that website can be integrated with QuickBooks for secured and seamless data exchange.

Let me also share these articles for additional guidance since you will be moving to QBO:

@Pennie3p

You may have 2 options:

1. Purchase a 3rd party service to merge the files before converting it to QBO. This option will take less than 5 working days and you can ask the service provider to work on it over the weekend to lower the downtime.

2. Purchase a 3rd party service to convert both company files into a single QBO account. This option may take more than 2-3 weeks (depend on the quantity of data).

You should contact @Fiat Lux - ASIA for details. They will ask your company files to review.

When I import the lists, does all the data that company has come with it.  I do know that payroll does not move over which isn't an issue with us.  It is my understanding that some banking transaction may not move.  What does that mean "some".

I'll clarify some points about importing data and help you from there, Pennie3p.

When it comes to converting QuickBooks Desktop data to QBO, some data may not be transmitted due to import limitations and feature differences between the two platforms.

In QuickBooks Online, you can import the following information to QuickBooks Online:

  • Bank Data
  • Customers
  • Vendors
  • Chart of Accounts
  • Products and Services
  • Invoices

Also, banking rules that are recognized automatically are moved for both Express and Advanced Mode. But Bank Feeds settings and credit card information aren’t transferred when you move from QuickBooks Desktop to QuickBooks Online.

That said, you'll need to connect your bank to QuickBooks Online (QBO) and it will automatically download the last 90 days of transactions from your bank. If you need to get older ones, you can upload them manually .You'll have to download the data from your bank's website. For more details, open this article:  Manually upload transactions into QuickBooks Online

I'll be sharing these resources that will guide you about moving your data and how to set up your dashboard display in QBO:
