Customer custom field migration Desktop to Online Advanced

Hi All,

 

Sorry if this exists somewhere, I searched and did not find it. We are considering migrating from QB Desktop Premier Nonprofit Edition to QB Online Advanced. We rely on data that has been entered into our customer custom fields in Desktop. I believe in Online Advanced we will be able to recreate those same custom fields. But it looks like in the normal data migration it will not bring over the data in customer custom fields, which is a significant issue for us if we have to re-create that all manually. So is there a data migration method that could include bringing over customer custom field data? Or does it have to be manually re-created?

You've come to the right place, @AndyTG. I'll share some insights about custom fields. 


Beforehand, I admire you for considering QBO as part of your business. Yes, I agree with what you've said that customizing field data in QBO is manually created. Thus, this feature won't convert from QuickBooks Desktop since it's available to add on forms. Rest assured, I'm here to guide you on how it works in QBO. 

I'll show you how: 

 

  1. From Settings, go to Custom fields.
  2. Select Add custom field.
  3. Give your custom field a name.
  4. Choose the type of data that will go in your custom field.
  5. Select the category the custom field belongs to. You can assign transaction fields to sales forms.
  6. Select the forms where you want the custom field to appear.
  7. If you want customers or vendors to see the field on a form, select Print on form. A maximum of 3 custom fields may have Print on form turned on for any single form type (such as Sales Receipt or Invoice).
  8. Tick Save when done.

Do you need to convert data with custom fields from QB Desktop US version to QBO Advanced US version?

You may have 2 ways to do so:

1. Utilize a migration tool

2. Purchase a 3rd party conversion service.

 

Please note, due to the limitation of the migration tool, you can only migrate data for up to 3 custom fields in every transaction type at this time.

 

Another option, if you are using an outdated QB Desktop version, purchase a new one time license for QB Desktop 2021 US Pro to open your files as archive. You can start from scratch in QB Online and purchase a 3rd party service to convert CoA, Lists, and beginning balance only.

Exactly that - we would be moving from QuickBooks Premier - Nonprofit Edition 2021 to current QB Online Advanced. The custom fields of specific concern for us are under "Customer" if that impacts the issue.

 

I will check your links, thank you! We would definitely be interested in the possibility of a 3rd party tool or conversion service that could include those fields. It sounded like the built-in data migration would not include it.
