Data fields for invoice

I'm trying to set up data fields on the invoice for the customer to be able to verify their contact information but the data fields available to be added to the invoice don't include the data options on the customer input screen.  For example, the data field has an Alternate Email but there is no Alternate Email on the initial page of the customer data.  There is an option for CC Email and Alternate Email1 or Alternate Email 2 but not just Alternate Email.  And they are all separate input fields and do not cross pollinate.  Why aren't all the data fields that are available on the customer setup page not available as data fields on the invoice layout page?  And is there any way to work around this other than reinputting all the Alternate Email 1's as something else?

Hi HOAtreasurer,

 

The customer data fields will not show up in the invoice layout if they aren't added in the template. Let's check your template by following these steps:

  1. Click List located at the top, and choose Templates.
  2. Right-click on the invoice template you want to edit.
  3. Select Edit Template.
  4. Click the Layout Designer button, and click the Add drop-down menu.
  5. Select Data Field, and find the field you want to add. For example: Customer Alt. Contact.
  6. Click OK.
  7. Then, click and drag the data field where you want to add them.

Why don't all the fields in the customer setup/edit page show up on the list of available data fields for invoices. For example Mobile Phone is a field on the customer edit page but Mobile Phone is not a data field for the invoice template.

Hello there, @Organizer.

 

I'm here to share additional information on how the custom field in your invoices works.

 

With QuickBooks Desktop, you have the ability to customize how your sales forms especially on how it will look like and what information will be displayed on the invoice.

 

If you want to show your company's contact information on the invoice, make sure to specify this information in the additional customization window.

 

Here's how:

  1. Click Customers.
  2. Choose Create Invoice.
  3. In the Create Invoice window, click Formatting.
  4. Select Customize Data Layout.
  5. In the Additional Customization window, click Basic Customization.
  6. Under Company and Transaction Information section, put a check mark on Phone number and Fax number.
  7. Click Ok

On the other hand, if you want to include your customers contact information, here's how:

  1. Go to Customer.
  2. Click Customer Center.
  3. Double-click on the customer's name.
  4. Choose Address Info.
  5. Go to Address Details Section.
  6. Manually add your customers contact information on the Invoice/Bill To box
  7. Click Ok

I do exactly what you state. You can see it in the bottom left of the Remittance section of my attachment. You select all Fields from the Layout Designer Add Fields, top button.

 

Please see my attachment. I have blocked out the listing as white, of course. I include the fields for phone, fax, alt phone, etc.
