Default deposit account

I thought there was an option in QBDT someplace to set a "default" account when making deposits or writing checks. What seems to be happening is that when a deposit is made (moving the payment from Undeposited Funds into the bank account), it seems to always be selecting the bank account with the lowest GL number instead of the main account. Am I halluncinating this or is this option just hidden really well? Any and all suggestions are appreciated.

In the Payment tab of Preferences, the box I mentioned earlier is what causes money to automatically go into Undeposited Funds to be deposited later into the bank account of your choice, as long as it is checkmarked. I mentioned this earlier, but it wasn't actually relevant to what we're talking about, and that's on me for confusing the matter by mentioning it.

 

In the Checking tab of Preferences, there is a line and a box to checkmark for 'Open the Make Deposits form with' for the bank account of your choosing.

 

It is in this Checking tab that you can choose which bank account automatically populates when you open the Make Deposits window.

 

From your description, this default box is populated with Undeposited Funds.

 

If you checkmark the box in the Checking Tab, not the Payments Tab, you can then change the default account for your Make Deposits window from Undeposited Funds to whichever bank account you want to automatically show up when you open the Make Deposits window.

 

This seems to be exactly what you want; for the Make Deposits window to automatically populate with a bank account that isn't just the bank account with the lowest GL #.

 

I feel like this became some weird confrontational thing, so if this still doesn't make sense, @Rainflurry  may be able to explain it more clearly.

Edit > Preferences > Checking > My Preferences.  Check the box next to "Open the Make Deposits form with" and select the default bank account you want.

@Deadwood Al  I don't know about Enterprise, but yeah, there's an option for that in QBDT.

 

The option you're thinking about is under the Edit menu, Preferences window, Checking tab, My Preferences subtab. This subtab contains the default accounts to use for opening the Write Checks, Pay Bills, Pay Sales Tax and Make Deposits windows.

Not sure if this will send or not ... yesterday I was blocked for some reason from sending any responses.

 

The method described in Preferences sort of works ... our default listed is for our Undeposited Funds account, but that is only half-fixed. The name itself (UNdeposited Funds) describes that this is not a "deposit" account, it is more like a purgatory account .... a holding account until the deposit is actually made.

 

The fix for this is if QB design were to have a default deposit that would be selected when at the page/screen where the transfer from Undeposited Funds into the real bank account as a deposit, not having the default apply to the Undeposited Funds account.

 

Thank you for responding. On to the Submit Feedback option to see if they can fix this.

@Deadwood Al  I feel like one of us is confused, but I'm not sure which anymore.

 

The Preference window listed above should allow you to do exactly what you are trying to do.

 

Actually... If you go into the Payments section, Company Preferences tab, is the 'Use Undeposited Funds as a default deposit to account' box checkmarked? That may be your issue.

Yes, the "Use undeposited funds" box is checked, because we do use it to track payments received before they might be deposited in the bank. It is checked on purpose.

 

But the way our system is working, that GL # for Undeposited Funds is what became the default ... as soon as a payment is received it defaults to a Dr to Undeposited Funds and Cr to AR.  Then later, whenever we actually deposit the funds to the account, we click on the "Make Deposits" on the home screen, and that takes us to a display of receipts sitting in Undeposited Funds. We checkmark the ones in the deposit to the bank, and then we go to a screen showing the checked receipts that will go into a bank account:  Here is where the problem is! The account that the system "defaults" to is whichever bank account type with the lowest GL number is the default account the deposit will go into. It is on this screen that I believe should be the "default" bank account choice, not simply the lowest GL #.

 

To my way of thinking, the choice to use Undeposited Funds is merely a choice of whether or not to use a "holding account" to track receipts before they are physically taken to the bank for deposit.  It is not a choice of which bank account gets the deposit, hence the name "Undeposited Funds". The choice of a default bank account is the choice of which bank account actually gets the funds.

 

Now. maybe we are still both confused, but these are my thoughts as to how I got to my place in this.  Could be I'm wrong, but I need to know where. If I'm not wrong, then it seems to me that QB logic in this is wrong. No?

@Deadwood Al  Well, yes. Per your description earlier, you have the 'Open the Make Deposits form with' set to Undeposited Funds under the Checking section of Preferences.

 

QB won't allow you to make a deposit to Undeposited Funds, so you need to checkmark the box and change your default to whatever bank account you do want to show up with you open the Make Deposits Window.

 

Otherwise, QB is forced to pick one itself instead of Undeposited Funds and, apparently, chooses to go in numerical order.

I think you meant to say "so you need to uncheckmark the box ...". I disagree. Our choice is to utilize Undeposited Funds as this tracks payments that have arrived and applied to customer invoices but might not yet be deposited into the bank. This is a conscious choice and is used by others who may not make trips to the bank every time there is a receipt.

 

I guess neither of us is confused ... we just have a different view of how the system should operate. I still contend that the account in our choice is appropriately named ... it truly is undeposited funds, waiting to be taken to the bank and then become "deposits". And at that point is where the default deposit choice should be effective.

 

That's why they make cars in different colors, carnivore & herbivore, and political parties. Sometimes we feel like a nut, sometimes we don't!

OK, got it. I obviously missed the part about the Payments tab, because I was always looking at the Checking tab. And if it came across as confrontational, I never meant it that way, and I apologize if it did. There are different ways of looking at an issue, and perhaps my feeble attempt at describing different approaches as "different colors, carnivore & herbivore, political parties ..." made it sound confrontational.  The last several weeks politically have been confrontational, so my choice of examples was not as good as it could have been.

 

So anyway, I have changed the Checking tab to the GL choice for the primary checking where deposits should go, and I left the Payments choice of using Undeposited Funds as it was. As I now (finally) understand it, this should produce what I want. Next deposit will tell the tale. Thanks for your patience and consistent  knocking on my head to finally let new info in. I'm cautiously hopeful this will accomplish what I was looking for. Thanks again.

@Deadwood Al  May be a better idea to mark RainFlurry's original post as the solution; they said exactly what I said, only in a much more concise way.

 

Save anybody who runs into this issue in future from reading novellas on the matter, anyway.
