Default Sales Service

There is a default product called Sales that is a service in QBO.  I dont sell services and want to remove this item.  However, it appears I cant remove it.  Is that correct that it can not be removed?  When attempting to make inactive I get the message:This product or service can't be made inactive because it is the default product or service for sales.  Does this mean I'm stuck with always having this?

Hello, @Mark-5.

The ability to delete or inactivate a default account is currently not available. This account is created automatically when you created your QuickBooks company.

Here are some of the examples of the default accounts:

  • Undeposited Funds
  • Opening Balance Equity
  • Retained Earnings
  • Inventory/Stock Assets and Cost of Goods Sold/Cost of Sales
  • Reconcile/Reconciliation Discrepancies
  • Unapplied Cash Payment Income
  • (Sales tax agency name, such as GST/VAT) Payable

You need not worry though; you can edit the name of the account to reflect your main income type. Here's how:

  1. Go to the Accounting menu.
  2. Choose the Chart of Accounts tab.
  3. Locate the Services account in the list.
  4. From the Action column drop-down menu, select Edit.
  5. In the Account dialog, update the Name to reflect your main income.
  6. Click Save and Close.

Also, I've added these articles that you can use as additional reference in managing your chart of accounts:

Keep me posted if you have any other questions about deleting accounts in QuickBooks. I'm always here to help you!

Hi IamjuViel

Thank you for your response but perhaps my question wasnt clear as your answer isnt related to my question.

I'm not asking about an account within the chart of accounts.  I'm referring to my list of products and services.  My business is retail and I'm selling inventory, not services.

There is a service item that was set up by default.  Its not an account - its a product service.

Its name of the service is sales.  See the image capture attached.

It shows up in my list of products.  I dont want it in my list of products.  But I cant seem to remove it.

Thanks for coming back and providing us a screenshot. I'm here to clear things out for you, MarkJR.

Yes, you are right, you'll encounter an error message "This product or service can't be made inactive because it is the default product or service for sales" when deleting or inactivating the service item. What we can do is to merge the item to another product or service tems. We can merge products and services except for inventory products that have Quantity on Hand.

This won’t affect any transactions you entered in QuickBooks Online (QBO). It will only remove one product or service from the Products and Services list. Let me show you how:

  1. Click the Gear icon on the top menu.
  2. Select Products and Services.
  3. Find the product or service that you want to merge.
  4. Tick Edit on the Action column.
  5. Enter the product or service you want to merge it with on the Name field.
  6. Press Save and Close.
  7. Hit Yes to confirm the merge.

For more details about this one, check out this article: Remove or merge a product or service

I've got articles here about managing your products and services items:

You can always count one m if you need a hand with running inventory reports or any QBO related. Assistance is just one click away. Have a great day ahead.

Thanks RCV.  That's closer to what I was asking.  But not sure if I understand the answer completely.  In QB, there are 4 different types of Product/Service items:

  1. Inventory
  2. Service
  3. Bundle
  4. Non-Inventory

The only thing I have for my business is #1 inventory.  This default product is a service.  I think your solution is to merge this default service with another service.  But I dont have any other services - I dont sell services.  I only sell items that I track quantities of.

So I think you are saying I'm stuck having a generic service item in my list of items I sell and there is nothing I can do about it, correct?

Hi, MarkJR.

Yes, you're correct. Removing the Sales on your lists of items is currently unavailable since this is a default product in QuickBooks Online.

Hi there,

I can see this is a historical question. Yet the problem still exists so I thought that I would just share what I did, as I too found it annoying to have this in my Products/Services list when I don't use it and cannot change it to a product from a service. I just changed the name to Misc; not an awesome fix, but not as confusing to look at as "sales".
