I just spoke with another Intuit sales person. They do not seem to be able to give an answer to what happens when you no longer "subscribe" to their service. However, they are quick to accuse you trying to get out of paying for a subscription.
I am at the end of my career as an accountant, I no longer need payroll functions, or on line banking functions. I do need the class system, customer invoicing. I do not need inventory. I do need Job costing. I would like to be able to send a copy to my CPA once a year. I do want to be able to access my historical work in the future, even if I no longer have an active subscription.
The sales staff leads me to believe that I will not be able to access data if I do not have an active subscription. This does not make sense, but I am not a computer specialist. Can anyone enlighten me?
If I cannot have a program I can access in the future
Hi there, @Lorraine MN.
I'm here to assist you with your concern about what will happen if you no longer have an active QuickBooks Desktop (QBDT) subscription and how you can access your historical work in the future when this happens.
If you're using the subscription-based model of QBDT, you can perform the functions you've mentioned as long as you have an active subscription.
Even when you're subscription ends, you can still have view-only access to your company data for one year. This means you can still view reports but can't create transactions. Therefore, before your subscription ends, it would be best to export your data so you can access the data to any QuickBooks software with an active subscription or license in the future.
For future reference, let me add this guide for managing your current QBDT subscription: Manage your QuickBooks Desktop subscriptions and services.
We'll be here in the Community if you have further questions about what will happen to your data when your QBDT subscription ends. We'll do our best to assist. Take care.
Which QB Desktop year version? You can use the trial version of QB Desktop Enterprise to access your historical data for good.
Thank you for your reply. So the way I see it with this new subscription service, I will have to have subscription for the year I am entering work and a subscription for the next year so that I can check my year end work, make corrections, post closing Journal entries and do the year end taxes in Jan - Apr. Basically I will need to purchase 2 subscriptions $649 and 649 for a total of 1298 do just accomplish one years worth of bookkeeping work. That is for businesses that do not need payroll, but do need 1099's. It is also for a program that I do not need bank downloading, but do need to able to send emails from. May I say Holy Smokes!!! That;s expensive. Since you have caught me mid stream this year, (still working on 2023) I will need to buy in to this program, but you clearly did not have small businesses in mind when you set up this new concept. You clearly did not talk to bookkeepers who prepare year end work for others. They could have told you they work clear into April or beyond sometimes to get the prior years books recorded correctly.
I just wanted a computer program that I could record data in. I do not need any cloud storage services, nor do I want you to have the ability to snoop at my records stored there. By the way, how long will you store our data? Just the years we subscribe, and then it will be deleted? Or for 7 years, which is the usual storage period for financial files? If you store our files, and the IRS or other Federal agencies ask for information, will you provide it when requested? Can I opt out of cloud storage?
I understand that situations can change and to make necessary adjustments, Lorraine.
After your subscription ends, you'll have view-only access remaining for a year. While your license is inactive, you won't be able to access your data. However, I highly recommend renewing your subscription or exporting your data. Meanwhile, if you decide not to renew your account, your data will still be saved within the program until you renew your subscription.
For us to keep your accounting data, export your information before your subscription expires. This way, you can use the information to send to your accountant, Federal agencies, and IRS audits.
