Hello-
Id like to setup a role with permission to view only Accounts Receivable, such as customer invoices and open invoices and paid customer invoices.
we use QB Enterprise desktop version.
thanks.
Thanks for hopping into the Community. Let me share you with some insight about setting up user access in QuickBooks Desktop, ShulyM.
I know how beneficial it is to your business to setup a role with permission to view only the Accounts Receivable (such as customer invoices and open invoices and paid customer invoices). However, this is unavailable in QuickBooks Desktop. We can only create transactions under the Selective Access section as shown in the screenshot below:
With this said, I'd recommend sending this request straight to our product engineers through feedback. Sharing features and options that you would like implemented is how our engineers look for new product updates. Here's how:
Here's an article you can refer to for more details about creating and managing users and roles in QuickBooks Desktop Enterprise. If you need to view all roles and their permissions, just run a Permission Access by Roles report. Let me show you how:
Moreover, I'm attaching this resource that you can read for your future reference. This contains information on how to export and modify your reports in QuickBooks: Understand reports.
If there's anything else you need assistance with about users' roles, please keep me updated by leaving a reply. I'll be more than happy to help you. Stay safe and more power to your business!
Thanks for that details.
can I set up a user to permit access to specific GL accounts, such as to the COGS account type and nothing else?
we use QB ENTERPRISE 22
Thanks for getting back to this thread, @ShulyM. Let me chime in and provide some insights about setting up user access.
I recognize how important it is to your business to set up a user who can only access specific GL accounts, such as the COGS. However, this is also unavailable in QuickBooks Desktop.
The GL account is under the Accountant role, designed for your bookkeeping and accounting staff. It has access to activities like Journal entries, Chart of Accounts, Setting Closing, etc.
For more information, you can also review this article: QuickBooks Desktop Users and Restrictions.
I'm also adding this resource you can utilize to help create and manage users and roles in QuickBooks Desktop Enterprise: Add a user with a specific role to manage your books.
Feel free to get back in here if you have further concern about setting up user permission for GL Accounts. I'll be happy to lend a helping hand. Keep safe!
Thank you, Rubielyn.
Hopefully in the future Intuit would be able to add extra parameters and further levels to the roles outside the accounting department. It would be more efficient if other users from various departments access the system.
