ERP and Accounts Receivable

My company uses an ERP system called Epicor/BisTrack.  This system manages all Inventory and AR transactions via journal entry upload.

 

When this system went live, I was told by the implementation team to create a second AR account under Other Current Assets; then credit each open invoice in the AR account in QBO to move open invoices to the new account on the Balance Sheet so that the QBO AR account is $0.00.  All AR is housed within Epicor/Bistrack.

 

We have decided to terminate our contract with Epicor/BisTrack and now I am trying to figure out how to get our open AR out of the Epicor AR account and back into the Accounts Receivable (A/R) account on the balance sheet.  The problem is, I need the AR transactions to age correctly for our Line of Credit with the bank and I don't want to affect COGS as it has all been accounted for.

 

Any suggestions??

Just to confirm, you have an Other Current Asset account in QBO that matches your A/R total in your ERP system, correct?  And, when you moved to the ERP system, did you create the offsetting A/R credits and close out all of the open invoices in QBO?  I just want to confirm you're starting with a clean slate. 

 

How many open invoices are we talking about?  To have A/R age properly, you will need to get the invoices imported into QBO.  I don't know of any way around that.  You can use the import function in QBO to import them if you can get the required data out of your ERP system.  Go to Settings > Import data > Invoices and download the sample CSV file so you have the template.  You also need to have all of the items set up in QBO that are on the invoices but you can download the template for that also.  If that seems overwhelming, you may need to look at a 3rd party importer tool like Transaction Pro.

Would love to chat with you about your experience using BizTrack and QBO. We are currently using Great Plains and want to switch to QBO but want more information about exactly what this looks like from someone who has first hand knowledge. Also, would love to know what ERP your company switched to from Biztrack. Not sure if there is a away to DM other quickbooks users or send a secure message to you.

My Company also uses BisTrack.  We are currently using MS Dynamics GP, but would like to switch back to QuickBooks.  Would you mind if I contacted you for a conversation to pick your brain and discuss the pros and cons of your experience?

Consider to have an inventory management app to integrate with QBO. If you only performing basic assemblies to create finished goods, you can use their composite item feature.
