Export QBO data to another QBO account

I have a client who needs to move all of his QBO data from one account to a new QBO account. He tried to export the current file but it (the program) is not allowing him to export the entire data file. Is there anything he can do to export the entire data file? Thanks so much!

Export QBO data to another QBO account

Hi there, @ibcsinc2021.

 

Exporting the data from one QuickBooks Online account to the other needs to be done at a time. Your client needs to export the lists and reports from the first company to Excel. Then, import them to the second account.

 

Here are the steps to export the reports/lists:

 

  1. Go to the Gear icon, then select Export data under Tools.
  2. Set the reason for the export.
  3. Under Lists select the list/s you want to export. Same with reports (under Reports).
  4. Click on Export to Excel.
  5. If you want to export your reports switch to the Reports tab.

Once they're available in Excel, here's how to import them to the second company:

 

  1. From the Gear icon, select Import data.
  2. Choose the data/lists you want to import.
  3. Follow the on-screen instructions to complete the process.

Thank you for getting back to me. Unfortunately he’s unable to perform the export of anything. QBO won’t allow the export. He’s receiving an error message. Do you know what this could be from?  He said the company file is about 6-7 years worth of data.

Your client has other 2 options:

1. Utilize a migration tool

2. Purchase a 3rd party migration service.

Thanks for your reply as well. I’m sorry but your solution is not a resolution to his issue. He shouldn’t need to use a migration service in order to export the company file. The issue is QBO is preventing the export and giving him an error message.

Since your client is unable to export his file, it's best to contact our QuickBooks Support Team. One of our representatives can further check his file and investigate the root cause of the issue. They are also equipped with tools to help export the file.

 

Since we’ve improved the process of reaching out to us, you can share these steps on how to have a repres4ntaive on the line:

  1. Go to the Help menu.
  2. Select Talk to a human.
  3. Type in your concern in the Type something field.
  4. Click the send icon.
  5. Choose I still need a human.
  6. Click Contact Us.
  7. Select the Send a message button.
  8. Enter the necessary details, then click Continue.

Export QBO data to another QBO account

Hi there, @Ajay0081. I'll ensure you can export a copy of your customer or vendor list with tax registration ID in Excel file here in QuickBooks Online (QBO).

 

You can pull up a Vendor contact list report and a Customer contact list report in your QBO account. You'll then customize it to add the details you want to show and the Tax Registration ID in your vendor and customer list report. I'll input the steps below so you can proceed.

 

For the vendor list report, here's how:

 

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, go to the Reports tab.
  3. In the Search tab, type Vendor contact list.
  4. Click the Customize button.
  5. Go to the Rows/Columns section, and then check the box for the detail that you want to show on your vendor list report.
  6. Once done, click the Run report button below.

 

For the customer list report, these are the steps:

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, go to the Reports tab.
  3. In the Search tab, type Customer contact list.
  4. Click the Customize button.
  5. Go to the Rows/Columns section, and then check the box for the detail that you want to show on your customer list report.
  6. Once done, click the Run report button below.

 

To export, you'll need to click the Export icon beside the Gear icon below the Save Customization button. For visual reference, see the screenshot that I've attached below.
