Exporting and importing transactions

Can I export transactions from QB Enterprise and import them into QB Desktop Premier 2019?

There's nothing built into QB to help you do this.

If you want to export select transaction from an Enterprise (or any) QB file and then import them into another file, use our BRC Transaction Copier

If you really want to convert your entire Enterprise file to Pro or Premier, then a better way is to use our BRC Enterprise to Pro/Premier Conversion Service

Exporting and importing transactions

Hi there, @Bestzin.

It's nice to have you back here in the Community. I'm here to share some information about the export and import process in QuickBooks Desktop.

You can import transactions on your QuickBooks Desktop Premier. However, you can only export lists from QuickBooks. You can check out for some third party application that supports this feature.

To guide through the process of exporting lists and importing transactions, you can use the Export or import Intuit Interchange Format (.IIF).  For more insights about this procedure, please check out this article: Export or import Intuit Interchange Format (.IIF) files.

I'd also encourage sharing your product suggestions to our developers by sending us feedback. Doing this helps them determine the features that needs to be added for future updates. This can also help us assess how we can better serve you in running your business.

In order for them to account your suggestions, please follow these steps on your QuickBooks Desktop account:

  1. Click the Help menu bar.
  2. Scroll down to Send Feedback Online.
  3. Select Product Suggestion.
  4. Choose Product Suggestion for the Type of Feedback.
  5. Product Area is optional.
  6. Enter your suggestion.
  7. Click Send Feedback.

Please let me know if you need further assistance with your QuickBooks account. I'm here to help you out whenever you needed me. Have a great day!

RE: I can walk you through with exporting transactions from QuickBooks Enterprise then import it to your QuickBooks Desktop Premier.

You can do this process by using the Export or import Intuit Interchange Format (.IIF).

No, you cannot do this! There is no export of transactions to an IIF file built into QuickBooks.  You can only export lists to an IIF file.

Actually, in QB desktop if you search for all transactions in an account for whatever date range you want, you can then export to Excel or CSV in the lower right corner of the advanced find box.

Actually, in QB Desktop Pro (or any desktop version) you can export transactions by searching in the advanced find box for all transactions in the account you want to export from, limited by date or anything you want or just all transactions for that account.  Then click the Export button on the right side of the find box under Report.  See attached screenshot.

We followed those steps but now we are having trouble importing that information into the new company file on Quickbooks Desktop Pro. Can you tell us what to do now?

Hi there, @Ap35.

Thank you for joining this thread. I'd be glad to provide info with importing data from the current company file to the new one.

Before going into detail, I'd like to ask if you're receiving an error message when importing your data?

For now, you can export multiple kinds of lists. When exporting your lists, QuickBooks creates an .IIF file that you can open on a notepad or excel. Also, exporting major lists one at a time will prevent issues as well and making a backup for your company file before importing.

Here's how to export lists to an .IIF file:

  1. Choose the File menu, then select Utilities.
  2. Click on the Export, then List to IIF Files.
  3. Go to the list you want to export, pick OK.
  4. Browse the location where you want to save your file and select Save.

Once you've exported those lists, now you can import the list to your new company file.

Here's how:

  1. Sign in to your company file as Administrator.
  2. Switch the single-user mode.
  3. Go to the File menu, then click Utilities
  4. Select Import, then IIF Files.
  5. Import the Chart of Accounts.
  6. After successfully importing your Chart of Accounts, import the other lists following this order.

Let me know if the steps above do this trick. If you have any more questions, don't hesitate to comment below. Happy Monday!

@Ap35

There are 2 options:

1. Utilize the 3rd party migration tools

https://transactionpro.grsm.io/qbd

https://partners.saasant.com/affiliate/idevaffiliate.php?id=5051_2

2. Purchase a 3rd party downgrade service

Hope it helps.

Why do you guys not share the export all transactions in .iif function available in the hidden tech support menu to help with this?

Thanks for sharing your thoughts on this, @ExcelGeek.

We always value the views and opinions of our users as this can help us develop our product that suits their business needs.

Rest assured, our product engineers are considering all suggestions. However, we don’t have a specific time frame as to when this option will be available. I’ll recommend checking our Product Updates page from time to time to stay updated on any latest news and updates in QuickBooks.

In the meantime, you’ll want to look for a third-party app that has the feature you need. You can do so by going through the App menu in your QuickBooks Desktop (QBDT) software. There, you can find apps that lets you export all transactions in your QBDT.

You can also check this link to learn what can be exported and imported in QBDT: Export, import, and edit IIF files.

Once you’ve found an app that best works for you, you’ll want to check this article for reference in case you’re ready to reconcile your accounts: Reconcile an account in QuickBooks Desktop. This link provides detailed steps in reconciling your accounts smoothly.

In case you need further assistance with exporting your transactions, you can always post in the Community anytime. I’ll be around to help you. Have a good one!

Where is the hidden tech support menu, and where is that feature to export all as .iif?

Thank you for chiming in on the thread, DreamBig. If you need to need to access the Tech Support menu, follow these steps below.

  1. In the top menu bar, go to the Help option then select QuickBooks Desktop Help.
  2. Choose the Contact Us button, as seen in the display.

From here, you can enter a brief description and follow the on-screen instructions to connect with us.

To export .IIF files from QuickBooks Desktop, these six steps will accomplish just that. However, there are limitations when it comes to importing and exporting this. I recommend reviewing this article to learn more.

  1. Log into your company file as Admin.
  2. Switch to Single-user Mode by using the File menu.
  3. In the same File menu, locate Utilities, then Export, and select Export .IIF Fileds.
  4. Choose the location to save the file.
  5. Please enter the name of the file in the File name field and save it.
  6. Click OK once completed.

If you have any more questions, feel free to reach out and let me know what's up. The Community and I are here to help you. Take care.

Yet again, Intuit "support" gives a response that's incorrect. The IIF export is only for lists, not transactions. And if you export transactions into Excel, there's no way to convert that into an IIF without paying a lot of money for 3rd party software.

After so many years and iterations, you'd think that Intuit would make it possible for us to merge company files or import transactions from one company file into another, rather than spending 100 hours re-inputting all the data manually.

The ongoing ineffectiveness is why I stopped using QBO and told clients that upgrading to newer versions was a waste of money.

Can I export a build assembly to excel?

Welcome to the Community, @Duke4129.

The option to export assemblies is unavailable in QuickBooks Desktop. As a workaround, you can export the entire item list instead.

Let me show you how to do it:

  1. Click on Lists, then hit Item List.
  2. Choose the Excel drop-down, then select Export all Items.
  3. In the Export window, Create a comma separated values (.csv) file.
  4. Select Export.
  5. Assign a file name and select the location where you want to save the file.
  6. Locate, open, and edit the file as needed.

Please feel free to read these handy articles for your reference:

After that, you'll learn about the IIF import and export limitations.

I'll wait for your response to this post. Have a nice weekend!
