When I clicked 'approve,' it marked the next three entries as denied. How do I undo this?

Before proceeding, could you please confirm how the time-off entries were submitted? Were they entered as a multi-day request or individual entries? Did you encounter any errors or unusual messages during this process? Providing this information will help us better understand the underlying issue.

 

Please know that we're unable to provide a direct way to undo a denied time-off request once it’s marked as final. If you were approving a multi-day request, clicking Approve might have worked for some dates. Still, the remaining entries could have been automatically denied due to insufficient time-off balance or other parameters, leading to the bulk denial.

 

The next entries may be denied because the total hours exceeded the employee’s available time off, triggering an automatic denial.

 

We can try to unapproved the entry you've marked as Approved to check if this entry triggers the next three entries marked as denied, and tick the box of those 4 entries to synchronize the mark as Approved on these entries again.

 

If the same thing happens, that the three entries are marked as denied, you can resolve the issue by having the employee resubmit the time off request and then approving the new one, or by entering the time off directly as an administrator.

 

By asking the employee to submit a brand new time off request for the dates that were incorrectly denied:

 

  1. Ask the employee to go to their Time Off screen and Add Time Off for the dates in question.
  2. Once submitted, the new request will show up as Pending on your approval screen.
  3. Go to Time Off and select the pending requests to approve them.

As an admin, you can bypass the request/approval process and enter the time off directly. Here's how to reenter:

 

  1. Go to Time (or Time Off if using QuickBooks Time).
  2. Select Add Time Off (or go to Time Entries and select Manual Time Card if you prefer that method).
  3. Select the employee's name, then click Continue.
  4. Enter the Time Off Code, date, and number of hours for each of the three denied entries using the + Add day button.
  5. Save the entries. This will create the time off entries immediately without needing approval.

If the denial occurred due to an insufficient time-off balance, review the employee’s available hours. You might need to adjust their balance to ensure the future approval process goes correctly.
