Nice to see you here in the Community, @msaitz. I'll help you make sure your federal tax withholdings are seamlessly reported into 1099 forms in QuickBooks Online (QBO).

 

In QBO, you don't have to edit a box for your 1099s to report them with the correct amounts. You only need to select the appropriate account you used in 2023 and categorize those accounts by assigning/mapping them to a box on the 1099 form. See this screenshot below for your visual reference:

Moreover, please ensure that you're mapping the correct accounts so the amounts will show up correctly. If you encounter some issues with the amounts, you can review the contractor payment transactions and accounts associated with them. I want to ensure you can get the mapping screen to appear in QuickBooks Online (QBO). Let's perform some troubleshooting steps to get this fixed.

 

There are times when the browser you're using has data issues, thus causing QuickBooks to act weirdly. To verify, let's log in to your QuickBooks Online (QBO) account using a private browser. To do so, press this shortcut key on your keyboard:

 

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Safari: Command Option P

 

If this works, you need to clear the browser's cache so the system can start fresh. If you get the same result while using a private browser, I suggest switching to a different supported browser.

 

If the issue persists, I recommend contacting our QuickBooks Support Team. This way, they can further check on this matter and provide in-depth troubleshooting steps to get this resolved. They can also open an investigation ticket if other users are experiencing the same.

I've got some steps to provide as you file your 1099-NEC in QuickBooks Desktop (QBDT). 

 

To report your Federal income tax withholding in box 4, you can follow these steps: 

 

  1. Go to the Vendors menu and click the 1099 Forms
  2. Press the Print/e-file 1099 forms
  3. You'll be prompted with a message, click Yes
  4. Choose the Form 1099-NEC and press Get Started.
  5. Select your 1099 vendors and press Continue
  6. Verify your 1099 info, you can also edit them if needed. Once done, click Continue
  7. You can choose box 4 by clicking the drop-down icon and selecting NEC Box 4: Federal Tax Withheld. Once you're done, hit the Continue option.
  8. You can also click View Included Payments or View Excluded Payments. Then press Continue
  9. Continue the process until you see the option where you can Print Form 1099-NEC for manual filing or click the Go to 1099 E-File Service.

Can't seem to get the federal withholding to show up no matter what account I post it to.  Does it need to go to a specific account?

Let me help you with your federal withholding to show up to the correct account, jhager.

 

Only those contractors you paid above the annual $600 cash threshold get a 1099. Payments to 1099 vendors made via credit card, debit card, or third-party system, such as PayPal, are excluded from the 1099-MISC and 1099-NEC calculations. It's because the financial institutions will be the ones to report these payments. 

 

Once you map accounts in QuickBooks Desktop, you'll have the option to either select Show all accounts or Show 1099 accounts only. Ensure to correctly map your account so it shows up in the 1099.

 

To do so follow the steps provided below:

  1. Go to the Edit menu, and then select Preferences.
  2. Under the Tax 1099, choose Company Preferences
  3. Click the "you can do it here option" to map your accounts to boxes on Form 1099-NEC.
  4. Hit OK.
  5. Hover your mouse over the drop-down arrow in the upper-right corner to select the Show 1099 accounts.
  6. Once you're done mapping the accounts, click Save & Close.

Also, make sure the vendor is tracked in 1099 to ensure everything is correct and error-free. After you've done all the conditions above, rerun the check to see if the information is already showing up.
