How to Import Bills

We would like to enter Bills into QB Online using the Import feature, but I can't figure out how to do that. 

 

We are using QB Online Plus.

This QB Online article (August, 2023) explains how, but the steps to follow to not match what I'm seeing on my end.

Specifically, the article suggests...

 

Step 2: Upload your CSV file

  1. Go to Settings  and select Import data.
  2. Select Bills.

 

However, when I click Settings and select Import data, the only options are these [See attached screen grab]

  • Bank Data
  • Customers
  • Vendors
  • Chart of Accounts
  • Products and Services
  • Invoices

 

The QB Online article suggests I should see Bills as an option, but I don't.

What am I missing?

How to Import Bills

The option to import bills is currently unavailable in QuickBooks Online (QBO) US. However, you can consider exploring third-party apps that offer this feature as an alternative solution.

 

Let me assist you with how to do it:

 

  1. Click Apps from the left panel.
  2. Go to the Find Apps tab.
  3. From the search bar, type in the keyword to look for an app.
  4. Once done, you can choose an app from the list of results.

 

Furthermore, you can upload your images of bills and receipts into the program. This way, QBO can extract information from them and create transactions for you to review. You can follow these steps:

 

  1. In your QBO Online account, go to Expenses.
  2. Select Bills.
  3. From the Add bill dropdown, select Upload from computer.
  4. Drag and drop files into the Upload or select the Upload button to choose files on your computer.

Another option, signup for a separate Melio account for free to integrate with QBO. You can ask your vendors/contractors to send their invoices to your email address directly. Melio will convert the attachment file and you just need to review it and schedule the payment.

How to Import Bills

If I receive a bill from a vendor that was generated from a purchase order, when I upload the bill from my computer as described, how can I associate that bill with the Purchase order?  We also have instances where the purchase order will have multiple items from a vendor or multiple quantities of an item from a vendor and the vendor will deliver part of the order and bill for what was sent, leaving part of the purchase order open.  Will this method of uploading the bill from my computer be able to handle this scenario and when the final bill is sent by the vendor to complete the purchase order items, will I be able to upload the new bill and associate it with the open balance of the purchase order?

Welcome to the Community, @mh1130. Let me share some insights about associating your imported bill with a purchase order (PO) from QuickBooks Online (QBO).

 

Based on the details and the scenario you've provided, linking your already created PO and your imported bill isn't possible.

 

But, you can still link your PO to your bill by manually creating a bill transaction within the program.

 

Additionally, you can also record, edit, and delete expenses in QBO: Enter and manage expenses in QuickBooks Online.

You can export the Transaction List by Vendor in QuickBooks Desktop (QBDT) and customize it to display the bill only. However, please know that the option to import bills is currently unavailable in QBO US. Nonetheless, you can consider exploring third-party apps that offer this feature as an alternative solution.

 

To export your bills from QBDT:

 

  1. Open your QuickBooks Desktop. Hover over the Reports menu.
  2. Choose the Vendors & Payables. Pick the Transaction List by Vendor.
  3. Click the Customize Report.
  4. Head to the Filters section and enter Transaction Type.
  5. In the Transaction Type dropdown, tick Bill.
  6. Press OK.
  7. To export the data, hit the Excel dropdown. Create New Worksheet.
  8. Hit Export.
     



To import your bill in QBO, you can look for a third-party importer tool via the QuickBooks App Store or the Apps menu in your product:
