Thank you to anyone who tries to help me! I've been desperately trying to resolve this issue on my own for days now, scouring community related questions to no avail. My problem seems to have occured during our switching over to QBO from Desktop a few years ago (around 2019). We are now in QBO, which is solely what we use, and I am left with several unapplied payments showing up on my A/R aging report. My accountant is requesting that I move them out of there. (Our Accountant is family doing us a yearly favor and QBO is not his specialty ) We do not want this to effect current year totals or mess up previous reconciliations. I basically just need to find a way to put these somewhere where they don't mess anything up. I believe there was just a lot of confusion during the transfer over and some people were still putting things into desktop still while we had moved on and were using Quickbooks online. I know this is confusing and I appreciate any sort of help or advice at all! Thank you so much!
Hello there, SMT22.
I can see how important having accurate financial records are to your company. This guarantees that you can process your taxes or forms easily and for smooth reconciliation.
Based on the information, you'll have to create a journal entry to move the unapplied payments to another account. That said, I recommend consulting with an accountant first to determine which specific category to use for the debit and credit.
When you have the information handy, you can follow the steps below to add the journal entry in QuickBooks Online (QBO). Here's how:
I've included some resources below that will direct you through the steps on how to manage unapplied cash payments:
I want to make sure that you're acclimated with the tasks and features offered in QBO. The topics listed in the links below will guide you on how to carry out any accounting activities.
Should you have any other QuickBooks concerns or questions on how to handle unapplied payments, leave a comment below and tag my name. I'd be happy to provide additional assistance. Have a good one.
Thank you so much for your quick response!!!! I really appreciate your guidance and help!
There are invoices for some and no invoices for the others. These were back in 2019 and 2020 and reconciled.
You're always welcome, @SMT22.
I'm glad that we're able to provide you with the resolution to fix your financial data.
Please don't hesitate to let us know if there's anything else you need to manage your business's growth using QuickBooks Online (QBO). Take care, and I wish you continued success, @SMT22.
If there are invoices and those invoices are still open, then you need to apply the payments to the invoices. Each payment should have created a credit that can be applied to the open invoice.
If the invoices are paid and you still have these unapplied (duplicate) payments, then you need to reverse them by creating an invoice with a service item mapped to your bank account. Then, apply the duplicate payment to the invoice if QBO is not set up to apply it automatically.
Finally, if these payments do not have invoices to apply them to, create the invoices (dated 2023 or 2022 if you have not filed your tax return yet) and apply the payment to the invoices.
Okay, I will try doing this! I will let you know how it goes and if I need additional guidance!!! I really appreciate your help!!!! Have a great weekend!
