Thank you for posting here in the Community, @Wblawton. I’ll assist you with your concern about your account in QuickBooks Online Payroll.

To avoid getting charged with the fees, we’ll have to properly cancel the subscription. I’ll show you how:

  1. Go to the Settings, and select Account and Settings.
  2. Select the Billing and Subscription tab.
  3. In the Payroll section, kindly select Cancel.

Take note that you’ll need to have master administrator access or company administrator to proceed with these steps.

Check out this article to learn more about when to cancel your subscription. Also, you can refer to this article on what to do if you’re unsure of what payroll subscription you have: Cancel Your QuickBooks Payroll Subscription.

Furthermore, since you mentioned above that you’ve been charged with the yearly payroll fee, I suggest you reach out to our Technical Support team to go over your account and double-check everything. Our representatives can check your account and discuss your billing options and refund agreements.

Here's how to get in touch with them.

  1. Go to the (?) Help icon in your QuickBooks Online (QBO) account.
  2. Select the Search tab, and click Contact Us.
  3. Enter a brief discussion of your concern and click Continue.
  4. Select either Chat with us (if you preferred messaging) or Give us a call.

Please ensure to review their support hours to know when agents are available. This way, you can contact them at a time that is convenient for you.

In case you need to reimburse your employees, I'd also recommend reading this article: Reimburse an employee. This link will show you how to do it on your QBO account in detail.

Should you have further concerns with payroll account, kindly don’t hesitate to add a Reply. I’ll make sure to get back to you as soon as I can. Have a great day!
