Good day, bayheadneedlepoint.

Let me share the steps on how you can an archived tax forms in QBO. Here's how:

  1. Go to the Taxes menu and select Payroll Tax.
  2. Proceed to the Filings tab.
  3. Look for Resources, then select Archived forms and filings.
  4. Go to the Date section and filter the date.
  5. Select the W2 form, then click View.
  6. Click the Download or Print icon in the upper-right hand corner of the PDF document.

Nope - on my screen, the "View" drop down button is not on the right side as in your photo... it is just not there.  Thanks anyway.

Hello there.

First off, I'd like to appreciate you for following the steps given by my colleague above. No worries, I'm here to assist you further and provide some information on how we can isolate this.

Let's start by viewing the form using a private browser. Doing this will help us determine if this has something to do with the browser since sometimes, the browser stores a piled-up cache that'll make it work slower.

Here's how to access incognito mode in some of the most commonly used web browsers:

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P
  • Safari: Command + Option + P

If you can see the View option, go back to your regular browser and clear its cache and cookies.

In the event the issue continues to occur while using incognito, we'll have to switch to another browsing application:

Here's a list of supported browsers:

  • Google Chrome
  • Mozilla Firefox
  • Safari 11 or newer

However, if the View option is still unavailable even after performing the steps above, I'd recommend contacting our Customer Care Support. They'll be able to use a screen share tool to walk you through some more steps to assist you. Please be reminded that they're only available Monday through Friday from 6 AM to 6 PM PT and on Saturday from 6 AM to 3 PM PT.

Should you want to let your employees view and print their own forms, feel free to read through this article: View your pay stubs, time off, and year-to-date pay in QuickBooks Workforce.

If you have additional queries about printing W-2s, please don't hesitate to reach us again by leaving a comment below. We're always here to assist you all the way. Take care.
