ICloud Document Sharing and QuickBooks Desktop for Mac 2019

I upgraded from QB for Mac 2016 to QB for Mac 2019 when I purchased a new iMac. However, my intention is to take my old iMac to my home office, and work in Quickbooks with the new feature of sharing thru iCloud Drive. I have saved all my company files in iCloud Drive, and they open fine on my new machine (although for some reason don't show up in the "open recent" command). But, since my old iMac has QB for Mac 2016, it can't share etc. I've tried to upgrade the old machine to QB 2019, but it only gives the option to purchase again. I have attempted to (sync license" but that seems to have no effect. I really don't want to have to buy multi-user, as I'm truly the only user. Can I solve this? I appreciate any input.

The most likely reason you're prompted to purchase another QuickBooks because the new purchase isn't set up yet under your account. To help you utilize the icloud sharing, please contact our phone agents.

They will need you to provide your company credentials to pull up your account and update your settings. Once done, you should be good to go and be back on track, @CF5.

You can find the 2019 installer on Intuit's web site (I'm not sure of the link but I've posted it before - Im on a different computer today).   Then you can just install 2019 on the older machine. When it prompts for the license number and product code use the same ones you used to install 2019 previously (these are visible in the QuickBooks->About menu on that machine).

Then you'll be running 2019 on both. You are allowed to use the same license on two machines as long as you aren't working on the two at the same time.  Which is exactly what you need.

ICloud Document Sharing and QuickBooks Desktop for Mac 2019

I've decided to try out QBO this past year to have flexibility between working at home and sharing certain files with my accountant, however, i find that the Online version is nowhere near as robust as the Desktop version.

I would love to got back to the desktop version, however, I operate on a Mac and my accountant on a PC. Is there a way to painlessly share files from a Mac to a PC, whether through an iCloud Drive or something? Can there be two different versions (PC and Mac) and still be sync'ed? Please advise.

Hi Lolakins,

At this time, sharing files from Mac to PC is unavailable. You'll want to have a Windows operating system on your Mac so you can install QuickBooks Desktop.

Here's how:

  1. Update QuickBooks Desktop for Mac to latest release.
  2. Open your company file as the admin. Go to the File menu and select Export. Select To QuickBooks for Windows.
  3. If you’re prompted to verify before you back up, select Verify.
  4. Name the file and choose the folder to save it in. Then, select SaveNote: Make sure you don't add special characters in the file name.
  5. Enter and confirm your password and select OK.
  6. Click OK on the confirmation window.
  7. Move the file to your Windows computer. Most people do this with a USB flash drive, cloud storage, or email if the file is small enough.
  8. Restore the file in QuickBooks for Windows.

Also, I'll be sending feedback to our product team to let them know of your business needs.

Here's an article for more information about sharing a file to your accountant: Create An Accountant's Copy Of Your company File in QuickBooks Desktop.
