Import max quantity for items

Quickbooks Desktop Enterprise 19.

Why can't we import the max quantity? I need to have min and max set on thousands of items. I have the info in a spreadsheet. I can import the min, but cannot import the max. We want to use the Auto PO procedure, but cannot until this is done.

I looked into "edit multiple list items" - which requires all items to be in the exact same order in QB and my spreadsheet. I guess this is how I'll have to do it, but it's scary because what if ONE item is missing from my spreadsheet? Then the entire copy/paste will mess up lots of items.

 

The max number should be importable.

Hello, KathyS. Thanks for providing further information about your concern.

 

I have another way that you might consider doing when copy/paste, we can do it by batch.

 

This way, we can avoid missing items from the spreadsheet. For example, you copy 1 to 15 items from the spreadsheet and paste it to QuickBooks. The next one is 16 to 30 items. 

 

I'll make sure to forward your suggestion to our product developers since we're unable to import max quantity for items. This might be given a chance to be included in the next product release.

 

Also, if you haven't turn on the Advance Inventory feature yet, you can follow the steps below steps on how to turn this on:

 

  1. Select Preferences from the Edit menu.
  2. Choose Items & Inventory from the left pane.
  3. Go to the Company Preferences tab. Check the Inventory and Purchase Orders are Active box.
  4. Hover the  Advanced Inventory Settings.

Inventory and Purchase Orders are Active was already checked.

What is the purpose of "Hover Advanced Inventory Settings" ? If it's just to determine if it's grayed out, it's not. Is there a setting I need to change there?

Let me share additional information, @KathyS.

 

When importing your inventory items, make sure to scroll to the right direction so you'll be able to see the rest of the import columns. From here, you can copy and paste the Maximum quantity for each item you're about to import.

 

You can read through these articles to learn more about importing items in QuickBooks: Import or export MS Excel files.

 

If you're still having the same result, let's run the Verify and Rebuild data utility tool. This will isolate, repair, and notify you of data damage within your QuickBooks company file.

 

Here's how:

  1. Go to the File menu.
  2. Choose Utilities.
  3. Select Verify Data.

Once completed, you'll receive any of the following prompts:

  • "QuickBooks detected no problems with your data," no further action is needed.
  • A specific error message, there may already be an article for it.
  • "Your data has lost integrity," indicates there is data damage in the file.  Continue to the steps below to Rebuild Data to correct the problem.

To rebuild your data, here's how:

  1. Go to the File menu.
  2. Choose Utilities.
  3. Select Rebuild Data on the drop-down.
  4. Choose OK. Follow the prompts to save a backup.
  5. Click OK when you see Rebuild has completed.
  6. Now, go back to File, then Utilities and select Verify Data one more time.

So the answer is still no - I can't import max quantity.

I already know how to copy/paste - fine if you can be sure the items are in the exact same order in Excel and QB, with no additional or missing items in either. Anything added, missing, or out of order, will mess up lots of items.  Since I have many thousands of items, and a spreadsheet that just has the items I need to update with min and max, I would really prefer to avoid copy/paste.

I'm thinking I can make this happen by exporting everything from QB, then use a formula to copy over my max numbers, so I'll have a spreadsheet with everything instead of just the items I want to update. I'm hoping this will make it easier to ensure all items are in the same order with none missing. But this is causing me some anxiety!!  I'd much prefer to just import it like I import everything else!

No. I'm still unable to use Auto POs because I cannot fix this issue. Copy/paste THOUSANDS of items is too scary.

No, I don't have time and doubt there's another way other than copy/paste.  I cannot bring myself to do a copy/paste of thousands of items for fear that ONE item being different would cause thousands of items to be wrong.

 

This should be importable. It's insane that it isn't.
