Incorrect W-2's being sent out by Quick Books

Why would Quick Books knowingly send out incorrect W-2's????

We have QB Desktop Enterprise Edition.  The earnings amounts the W-2's do not match what is in the QB system. 

We have contacted customer support several times and have not gotten a satisfactory response.  WHO do I need to speak to to get this matter corrected????

I'll ensure you get the help you need with fixing incorrect W-2s in QuickBooks Desktop.

 

I understand that you've already contacted our support. However, we can't check your account thoroughly here in the Community to examine why the earning amounts on your W-2s don't match our system. Hence, I recommend contacting our payroll support team. They have all the resources needed to thoroughly investigate your situation and come up with a fix immediately.

 

Here's how:

 

  1. Open your QuickBooks Desktop.
  2. Head to the Help menu.
  3. Select QuickBooks Desktop Help/Contact Us.
  4. Click on the Contact Us tab.
  5. Provide a brief description of your concern, then Continue.
  6. Utilize your Intuit account to sign in and Continue, then select Continue with my account.
  7. Create a new account if you don't have one yet.
  8. Enter the single-use code sent to your email and select Continue.
  9. Either choose to chat with us or Have us call you.

 

Also, please observe their support hours so you can reach them successfully.

Unless you have Assisted payroll, then I thin it's the user triggers creating and printing/filing W-2's, not QuickBooks or Intuit.  As such, you are free to review your W-2's before you print/distribute and file them.

 

That noted....

There is no number on any report within in QuickBooks that you can match to Box 1 earnings on a W-2 (except, see below). Why are you trying to do this? If you have set up your payroll items correctly, Box 1 earnings will be correct.

First thing to do is determine if there is actually an issue.

 

I recommend creating the W-2 Excel-based report, which should match W-2's printed from QuickBooks, and you can use to drill down on different boxes to see the items and amounts included in that box. Create the report by starting on the QB menu at Reports | Employees & Payroll | More Payroll reports in Excel | Tax Form Worksheets.

 

Pick the dates and the form type:

The resulting report calculates different boxes just like the actual W-2. Here an example of the detail you might see for Box 1 for an employee:

I contacted the payroll team and after several transfers and almost 45 minutes on the phone, I was finally connect to the tax group.  The person I spoke to there said that the W-2's had been sent out with incorrect information so that Quick Books would not be in violation of missing the deadline for filing W-2's.  I was also told that W-2C's would not be sent out for 45 - 60 days and there was nothing she could do about it.  This is a horrible way to treat paying clients and their employees.  This is the third time this year that Quick Books payroll has disappointed me.  So, no none of the things recommended below helped and now I am in a position of having to prepare W2C's myself using a third party service and incurring additional costs.

Same thing happened to me. Printed my own W-2 in my office through Quickbooks Desktop Payroll. I then received another W-2 via US mail that is totally different than the W-2 that was printed in my office. We ended the call with the Quickbooks agent essentially  telling me to contact the IRS. What a headache this has caused....

Incorrect W-2's being sent out by Quick Books

It is a headache that never ends.  I had countless calls with Quick Books help line and no one could answer the simplest question, "What information is being sent out?"  I was told the W-2's would be sent out incorrectly and then the W-2C's would take 30 to 45 days to be sent out, and they were going to charge me $250 to fix their mistake.  I then spoke to a very nice lady on the last try and she assured me that all of that would be taken care of by the 31st.  My employees received W-2C's before their regular W-2's and that has caused so many headaches.  Our employees do not trust the information we have given them.  And I guess they thought this would make it better, they said it happened to approximately 1,000 other users.  Didnt help!
