inventory

We are a custom cabinet and millwork shop. I want to track inventory but we rarely invoice by time and material. We almost always create an estimate, then a sales order, then finally an invoice. Nowhere are the inventory items listed in QB. I do create a list of material when I develop the bid, but it is in a different program that is tailored to our particular needs. (Custom Filemaker Pro database).

What is the wisest way to reduce the inventory in QB Desktop? It seems kind of crude to just go into inventory adjustment, but if I need to do it that way, I will.

To further clarify this, I want to be able to do a job cost analysis which will require me to assign the items to the job.. If I simply adjust the inventory, there will be no accurate job cost analysis. We use tsheets for the time.

You'll want to create an invoice to reduce your inventory and to track the costs of your job. You can read through this article to learn more: Tracking Job Costs in QuickBooks Desktop.

 

Also, I'd suggest contacting your accountant for additional assistance in utilizing the Work In Progress account. This way, you can adjust and accumulate the costs of your inventory. You can find one through this link: Find an Accountant or Bookkeeper.

My problem is that I don't invoice based on items and time. I invoice based on the bid price. I don't want the items and time to show on the invoice. I suppose I could create an assembly inventory item for each job.

Hello, @bf49er.

 

You can use the location tracking or bin location feature in QuickBooks Desktop (QBDT) to track your inventory. You'll be able to track the items on the location as reserved for the job and to be invoiced. However, this feature of the Advanced Inventory is only available for QBDT Enterprise users.
