Invoice Email Format

I know there have been several questions on this topic, but they are all for Quickbooks online. I have Desktop Enterprise Solutions and a new email format was introduced with no warning that overwrites my branding on the email and places Quickbooks branding and emails. This is unethical to say the least. How do I change the format of the email on a desktop version? This one sucks and is confusing to the customer.

For reference, this is the format I have had for 10 years and need to get back. Anyone, please help, I can't use the new format at all.

I understand how challenging it can be when something you’ve been using for years, especially something important to your business like your branding, is changed, CMorrisIV.

Regarding the new email format in QuickBooks Desktop (QBDT), you’re correct that this change came from an automatic software update. The default header and footer messages are integrated into the system, editing or removing them isn’t available. That said, I recommend sharing your feedback with our Product Development Team. Your suggestions are important in helping us understand user needs and improve future updates.

Here's how:

  1. Locate the Help option.
  2. Choose the Send Feedback Online option.
  3. Select the Product Suggestion option. A pop-up window displays. Enter your feedback suggestion.
  4. Click the Send Feedback button.

We appreciate your patience as you navigate these features. If there’s anything else I can assist you with, feel free to leave a comment below. The Community and I are always here to help.

An absolute unacceptable change. This is very unethical on Inuit's part by putting Quickbooks branding on my communications. It is actually legally actionable. Making suggestions through the app is useless as no one listens. I now have to manually edit each and every email and with the amount of invoices I send monthly, I will be spending an inordinate amount of time doing this. Should I send an invoice for my time to Intuit?

We are running into the same issue.  The email message in the "hijacked" area can't be updated or changed, which makes no sense when sending past due invoices.  Yeah, the invoice was ready 2 months ago when we first sent it.  Asking them to also "pay it on time" also looks kind of snarky when sending a past due invoice.

Then the security message at the bottom is even worse - we send invoices through webmail - why in the world would someone email INTUIT?  They notify US then we notify INTUIT.  And we don't want your logo on our communications.  Get it out of there.  We already pay you for this crappy software.

This is very unethical/unprofessional.  We have to manually delete half the garbage that QBD adds to the email.  Very annoying and time consuming.

The new email format for sending our invoices to our valued clients is unacceptable. I now spend more time deleting unwanted content than ever before!
Please create a template format so I can choose what needs to be included (e.g. Due Date, Prompt pay message, etc.) instead of QuickBooks assuming an impersonal or unprofessional appearance that I must edit for every invoice.

Intuit, you are failing us AGAIN????????!!!!!! What gives? Let us control our email messaging!!!!!

I guess I am stuck having to manually change EACH invoice email to the "former" format/look....which is easier to read and our customers prefer and are used to!  The new look is all centered and looks very unprofessional (and prints on two pages...2nd pages is not necessary and wastes paper).  And yes...the header & footer can be deleted and/or edited (although manually)....thank goodness!  The footer will definitely be deleted each and every time.  WE assist OUR customers...NOT Intuit!

As much as Intuit QB costs...customers should have a voice & a CHOICE in how they want their business emails to appear.

Not a good way to start the new year!!

Intuit should not have the right to tell us how to communicate to our customers. The verbiage in the header & footer should not be controlled or dictated by Intuit. It is so unethical in so many ways. Intuit is only to provide a template of simple design & structure, not to tell us what to say to our customers. Intuit has overstepped the line this time.

The header and footer can and will be deleted each and every time. No thanks to Intuit for adding to my daily work load. Intuit should make things better for their customers...not worse!

I have the same problem. Intuit putting there brand on my emails is not acceptable, and the wording is confusing. They also removed the ability to send emails via a local Outlook email account, so I have to enter credentials for my SMTP server to send emails from within QB; or I have to generate an email outside of QB and attach an invoice that I saved as a PDF. This takes valuable time out of my day. We pay close to $3000 per year for this, I'm thinking of ditching it for an open source solution. QB doesn't ever seem to get better, only worse. For example, just replying to this post didn't work in Firefox, had to use Chrome because this site kept giving an authentication failed error even though I had already successfully logged in several times. Maddening.

Anyone come up with a solution to this email format issue?  We are having the same problems/regrets--

This is absolutely UNACCEPTABLE Intuit.

Where is your intuition???

Overriding your customers email with one that makes me look like I am scrambling for your money.

Horrible on QB part.

The only workaround I have found (tech support was the typical NO help).

Swtich to Plaint Text

Edit > Preferences > Send Forms

At least then you can control YOUR OWN EMAIL.

No wonder INTU is performing soooo poorly on the open market.

We tried the plain text option but it's not changing anything on our end.  The emails still go out with the horrible footer and header added.

Did you change any other settings to get a cleaner email?

They REALLY need to make the template editable.

We are MANUALLY having to remove the ugly footer and modify the header.  It is taking a lot of unnecessary time and effort for each invoice.

Thank you for suggesting Plain Text. Didn't realize that was an option At least I can work with that versus reformatting an email.

How were you able to edit out the header and footer? Please I am desperate to get this fixed. My customers are going to think this new email body format is rude and snarky!!

That didn’t work for me either. How are people able to manually remove header and footer??

I was able to revert back to the old way by following a suggestion on Reddit. Go to the Quickbooks program and click uninstall. After that you will get an option to "Repair" the file. That's what I did and it fixed the issue. The problem is every time QB has another update I have to repeat this process. Very frustrating.

Seriously?!?!?!?!?  "Please pay this invoice on time"???????????

I would NEVER put this in an email to my customers!!!!

HOW COULD YOU MAKE THIS CHANGE and the only option is to EDIT EVERY EMAIL TO FIX THEM!!!!

Another one for the books!!!!!

I contacted support today and they wanted me to put my session in single user mode and remote with me, to show me how to CREATE A TEMPLATE! I explained that is NOT the problem -- the problem is that they are adding their own content around OUR TEMPLATES!!!!!!!

Anyone have a workaround?

Get another accounting software subscription because QB doesn't care at all.  Been almost a month with no fix on their end.  Big old middle finger to the customers who pay for their "Premier" software.

This is a shout out to MetalCoatingProtection above. You can go Plain Text and remove all formatting. It comes out like a regular email, but no branding and no formatting. I just add my signature, which has my branding, and off I go. Much better solution than reformatting every time. To do this, go to Edit, Preferences, Send Forms and in the My Preferences tab, check "Use "Plain Text" format for emailed invoices."

As for an alternative, I've looked, really looked. Unfortunately, I can only find cloud solutions. I do not want a cloud solution at all. Very hard to find with the features I require.
