Item Pricing Update

When creating a purchase order and selecting an item, I update the price of the item and Quickbooks asks if I want to update the price of the item inthe database.  I select YES, but the price does not update in the item database or reflected when I create a new purchase order with the same item.

I got you covered, @carlsonj. I appreciate you visiting the Community.

Let me share some troubleshooting steps to isolate the issues within your file.

As I've tried it here on my end, I was able to update the new pricing of an item when creating a purchase order. The program crashes when the version becomes incompatible with the current QuickBooks Desktop (QBDT) version. Thus, let's ensure that your QBDT version is updated to its latest release. This way, you'll always have the latest features and fixes for several problems.

Then, let's run the verify and rebuild tool. This tool will scan any damaged data and will attempt to resolve them. It allows your QuickBooks software to refresh the data inside the company file.

Also, to ensure that you have the original data you can restore at any time, I'd suggest securing a backup copy of your company file before making any changes.

Once done, here's how to verify your company data:

  1. Go to the File menu.
  2. Choose Utilities, then select Verify Data.
  3. Click OK to close all windows.

If you see an error message, you need to rebuild your file. Otherwise, you're good to go.

After you’ve verified your data, rebuild your company file to fix any errors.

Here's how:

  1. Go to the File menu, then choose Utilities.
  2. Select Rebuild Data, then tap on OK to close all windows.
  3. QuickBooks will prompt you to do a backup before rebuilding your company file, then select OK.
  4. Follow the on-screen steps to proceed.
  5. Click OK once done.

Thanks for the response.  I am running QBDT 2023 and did what you said without any errors, but the issue is still happening.

Item Pricing Update

Hi there, carlsonj.

I appreciate you for coming back to the thread and adding extra details about your concern. I'll be sharing details on how updating item price works in QuickBooks Desktop. Then, I'll ensure you can see the updated item details when creating a purchase order. Also, let me point you to the right support team to assist you further on this matter.

When you update the price of the item in the database, you'll have to make sure to click the Yes radio button on the Do you want to update the item record with the new cost and Do you want to update the price for this item based on the new cost section. This is to ensure that the updated price will reflect when you create purchased order with the same item. Otherwise, if you only tick the Yes on the cost section, it won't change the price since the two options work differently and are meant to work independently.

If the issue continues to occur, you have the option to change or edit the information on the item so the updated price appears on the transactions.

Here's how:

  1. Select the Lists menu at the top.
  2. Choose Item List.
  3. Double-click the item you want to change.
  4. Edit the info for the item, especially the Sales price.
  5. Click OK.

However, if the problem persists, I suggest contacting our QuickBooks Support Team. They have the tools to pull your account and deeply investigate the cause of an issue and fix it as soon as possible.

Lastly, you may refer to this article to see steps on how you can run a specific report that shows all open purchase orders for each vendor: Customize vendor reports.

Thanks for the response.  Attached is a screen shot of editing the item in the items database.  I don't see any spot to click per your instructions below.  Am i missing something?

Also, I am using non-inventory parts items.  Can you see if you can recreate my issue that way?

This is happening to me too in QBO. The error message I receive when I try to edit the sales price is that I am using the wrong tax code and that I should find the right one.

Hi there, @siobhanconnally.

I would be happy to assist you in achieving your goal. However, could you provide more information about the item that you attempted to update? For instance, would you be able to share a screenshot of the error message you are concerned about? Doing so will assist us in getting on the same page and providing an accurate resolution.
