Is there a way to send PDF invoice attachments only "as needed" (i.e. to specific customers only, not all)?
Solved! Go to Solution.
You're correct, dLearned.
It will be applied to all sales forms including sales receipts and estimates. You can also download the invoices as a PDF document, use them as an attachment when emailing the invoice outside of QBO.
Here's how to download the invoice:

I've got some instructions to share on how you can have an invoice attached in PDF to show on your emailed transactions, together with the attachments that you've included.
You'll have to select the Show full details in email option from the Online delivery section from the Accounts and Settings. This way, all the information in your sales entry will show up on your customer's email.
To do that:
1. Click on the Gear icon at the top.
2. Press on Accounts and Settings.
3. Refer to the Sales tab.
4. Tick on the pencil icon beside Online delivery.
5. Select on the Show full details in email radio button.
6. Make sure to put a checkmark on the PDF Attached box.
7. Hit on Save.
8. Tap on Done.
Once done, open the invoices you want to send to your customer.
For more details about the different file types that you can attach to any transactions in QBO, together with things that you need to know when emailing them, please see this link: What transactions can keep attachments?
Let me know if there's anything else that you need about this or with QuickBooks. I'd be happy to help. Have a good one!
Thank you for your reply.
I saw that functionality, but doesn't that apply to all sales? Are you suggesting that I turn this on and then off each time I happen to need to bill the customer in question? (That was my assumption on how the setting works given that the screenshot you have linked states "email options for all sales"). Is there a less cumbersome way? I believe I can download the invoice prior to sending and then attach it when sending (although that results in copies of the invoice on my hard drive)

This is a stupid answer. I need to send PDF straight from QB WITHOUT, I repeat WITHOUT having to download and then send the PDF that way. QB has become a time waster
I am having same issue., my client ll one by one want PDF only sent to them. I should not need to save every invoice as a PDF and then attach it to invoice manually. I do hundreds if these a day. I was told I should just be Abe to " send as PDF " and that be it and not seeing any way to do this. if I need to do this action for every invoice why am I even using this service ? I should not be that hard for QB too code a option toggle to also send at PDF in email to our clients.
this is not an acceptable option. Gmail and every email service there is you can just send what you typed as a PDF . there must be a way yo just sent flip a toggle and send all my invoices as PDF that's all my clients want and will accept now. I dont use pay thru links at all. I just want my clients to get a PDF of the invoice automatically. This is insane if QB can't do this.
Hi there.
I realize you're devoting a lot of time and effort to finding a solution to your problem. This isn’t the kind of impression we want you to have. Rest assured, I’m here to help and will address your concern about managing your invoices.
We recognize that sending invoices as PDFs to your client's email saves time and benefits you and your business. However, this option is unavailable in QBO as of now. I recommend sending your feedback to our Product Development Team. So they can review and determine what features to add for future product enhancements.
I’d be glad to show you how:
Additionally, you can visit our Feedback forum page to keep track of your requested feature and see the most recent QuickBooks updates.
Once this is settled, I have an article to help you account for your customer payments: Receive payment for your invoice.
Please feel free to get in touch with me here for any additional questions about sending your invoices in QuickBooks Online. The Community always has your back. Thanks for dropping by, and stay safe.
AGREE! reason enough for me to look into other products
