Accessing and reviewing your QuickBooks data history is crucial for ensuring accurate records. I'm here to help you locate all the previous and present entries tracked in the program.

 

Beforehand, may I know what history you can't view in QuickBooks Online? Are these sales or expense transactions or other entries entered into the program? It'll help us provide the exact steps to locate them.

 

In the meantime, I recommend using the Magnifying Glass feature to look for the data you want to view. I'll show you how:

 

  1. Click the Magnifying Glass icon at the top right side (ensure you're on the Dashboard page).
  2. Select Go to transactions search.

  3. Under the Date range field, add the specific periods (the Date is Custom to enter the correct info), then hit Apply.

  4. Choose the exact entries you want to view under the Transactions type drop-down menu.

  5. You can also use the Reference number, Contact, Amount, and Memo (if available) or click the Additional Filters or More Filters option to locate the data.

Aside from that, you can also find the transactions in the Register.

 

If you still can't see what you're looking for, I recommend logging in to your account via a private window. This way, we can determine if this is a cache-related issue. The browser you often use while working on your books utilizes cached data to load the websites faster. However, excessiveness can cause QuickBooks's performance to deteriorate and affect the overall functionality.

 

When using incognito mode, it'll assist us in verifying its exact cause since this doesn't save your browsing history and doesn't store cache. Here are the keyboard shortcuts: 

 

  • Safari: Command + Shift + N 
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Shift + N

 

Once logged in, search for the transactions again (please follow the steps above). If you can now see them,  clear the browser's cache. Doing so improves system performance, fixes program problems, and frees storage space. Using other supported browsers also helps us verify if this is a browser-specific problem. 

 

If the issue persists, I suggest scheduling a callback with our QuickBooks Support Team to investigate its cause and provide additional fixes.

 

Additionally, QuickBooks Online monitors all the activities made in your books. The system detects the information on who made changes to your books and what they did. You can keep track of the records by utilizing the Audit Log feature.
