QB Desktop for Mac 2020 sharing company files

Hello!

 

I am not a Mac tech at all, but one of my clients bought out his cousin's office that uses Macs, and I got them set up on QuickBooks Desktop for Mac 2020 back in January 2020. Everything was fine until they wanted to have a second Mac be able to access the three QB database files on the primary Mac a week ago. This is a setup where only one user will be in QuickBooks at a time; it's not a multi-user setup with both users accessing the files simultaneously, nor do they have a multi-user license that would be required for simultaneous access. I do nearly this exact setup flawlessly at home with Windows for my wife and I. The files are on my Server 2019 server with the QB Database Manager running, and she works in the file and then closes QB, then I access it, then I get out and give her access again. I don’t even have QB in multi-user mode and it works.

 

On the main Mac, I added the secondary Mac user's name and password just like I would do if it were two Win 10 computers in a workgroup. I then went through the main Mac's System Preferences to share the QuickBooksDataFiles folder that I created on the main Mac user's desktop, and I made sure that it had the main Mac user's name, the secondary Mac user's name, and Everyone set to Read & Write permissions on that folder and the files within it. So far, so good. The QuickBooks Server 2020 is running on the main Mac and has the database files shared. With QB on the main Mac in either single-user mode or in multi-user mode, the primary user closes QB but leaves the QB Server running, and the secondary user can access the three QB data files and make most changes needed, ***with the exception of checks.*** The issue comes when User2 tries to save a check. She gets an error stating, "QuickBooks could not update your company file! Your system may be low on disk space. The volume that contains your company is inaccessible and may be low on space. QuickBooks still has an updated copy of your company file that can be saved to a new location. Please choose a different location to save your company file."

 

Both Macs have over 230GB of free space.

 

One thing I have seen happen multiple times is that the sharing permissions on the primary Mac keep changing from Everyone having Read & Write to having Read only. I change it again, it looks good, then it reverts back to Read only. Over and over again.

 

Intuit tech support sent us an article on how to do it, and it was the same article I have already used (https://quickbooks.intuit.com/learn-support/en-us/manage-users/use-multiuser-mode-in-quickbooks-desk...) that fails to work completely.

 

To reiterate, the two issues are that the folder permissions keeping reverting to Read only, and the problem with saving a check for User2.

Does anyone know what I am missing?

Thanks for sharing a good amount of details with what happens when saving a check. 

 

I checked the article you shared and it's intended for a multi-user setup. Your firewall settings might have also caused the permission from read and write to read-only. Follow these steps to make some changes to your settings:

 

  1. Go to the Apple menu, then select System Preferences.
  2. Click Security & Privacy, then select Firewall.
  3. Select Firewall Options. If it’s grayed out, select the Lock icon to unlock it.
  4. Click Allow Incoming Connections.

 

I can also see that you already reached out to our Technical Support Team about this matter. However, I would still recommend reaching out to them again if you're still getting the same error. They can take a closer look at this and review what other options we can do to resolve the issue. Here's how:

 

  1. Go to this link: Contact Us.
  2. Make sure it says QuickBooks Desktop for Mac, then click Continue.
  3. Select Using QuickBooks For Mac.
  4. Scroll down a little bit and click Start a Message.

A two-hour call with Apple tech support failed to resolve the issue. We ended up moving the QBW files to the second Mac because that user does the most checks. The first user has not used QB since then...not a good solution.

 

It's too bad you don't support using QBW files that are stored in OneDrive or iCloud. That would solve a lot of my problems.
