QB Enterprise Will Not Condense Data

I am trying to condense my data file using the condense date utility in Enterprise 20.0 and 18.0.  The errors below occur in both versions. 

 

I've tried several times.  Every attempt has been met with an unknown error and the screen asking if I wish to forward the error to Intuit.  After I click through the forward error screen, I get a message that QB needs to restart.  QB restarts and I get a message that states that the operation could not be completed and my data has been restored to its previous state.  I have not received any program messages that reveal what the error is; no error numbers, etc.  All I received was that an error occurred and QB needs to close after a couple of hours of trying to condense.  QB freezes and then restarts as described above.

 

I've verified the data several times.   I've rebuilt the data file using the rebuild data file utility several times.  Both show no errors after running.

 

I used the default options when attempting to condense the data, with the exception of the date range I wished to condense around.  

 

I used the QB File Doctor to attempt to correct the any file corruption.  The File Doctor reports no errors or corruption.

 

I need to separate the 2017 data.  I am attempting to use the condense option that condenses data dated before 1-1-2017 and after 12-31-17.  

 

My client uses Enterprise 18.0.  I have a backup file from the client that I restored to attempt to condense.  

 

I've tried all the easy stuff.  So, what's next.

 

All QB programs are up to date.

 

Please do not post any of the QB how to condense data.  I been through all of these.  I need a solution that isn't in the help articles or on the community boards.

QB Enterprise Will Not Condense Data

Hi, BigBillFL.

 

If you have inventories, QuickBooks files with negative inventory or negative quantity on hand are one of the reasons that QuickBooks will not condense. You will first need to repair negative inventory in your data file before condensing the file. 

 

Here's how:

 

  1. From the QuickBooks Reports menu, choose Inventory, then select Inventory Valuation Summary.
  2. QuickZoom an item that is showing incorrect values by double-clicking the item name. This opens the Inventory Valuation Detail report for the item. The transactions associated with this item are listed in order by date.
  3. QuickZoom the first Bill listed to open the Enter Bills window.
  4. Change the date on the bill to a date earlier than the first invoice listed on the detail report you opened in Step 2.
  5. Click Save & Close to record the bill with the new date.
  6. Repeat Steps 2 through 5 for each incorrect item.

Negative Inventory can show up on your Balance Sheet but primarily it shows on the following reports:

I have a client that I am currently having this EXACT same issue with. Did the suggestion below correct the issues or was there something else that you did to correct this?

If the Condense Data utility doesn't do that, consider buying a third-party condense service. It is possible that your file is corrupted.

I'll help fix this condensed data issue, slharris.

 

If you already tried the steps mentioned in this thread, yet the problem persists, I can suggest another alternative solution to get this resolved. 

 

You can start using the repair tool in QuickBooks Desktop to examine the files and identify any corrupted components. Make sure to create a backup copy of your company file to save your accounting data before proceeding with the steps.

 

Here are the steps to repair QBDT:

 

  1. Click the Start menu and select Control Panel.
  2. Go to Programs and Features to open the Uninstall or change a program screen.
  3. Select QuickBooks and choose Uninstall/Change option.
  4. Click Continue and Next.
  5. Tap Repair, then wait for it to complete.
  6. After completing the repair, click Finish.

 

If you encounter an error like Files in use during the repair process, just click Ignore, then OK. You might have to click Ignore several times. Then, click Close and restart the computer.

 

However, if the problem continues, I suggest contacting our Customer Care Support to have this better checked and assist you further in condensing your data.
