Requiring Sales Rep Names

I work at a company of 10 employees we all have an intuit account for quickbooks. However, we sometimes forget to choose which sales rep is assisting a customer on the invoice. Is there a way to require a sales rep name when invoicing? Currently it is not required and it is why we sometimes forget to assign the name every invoice.

Currently, we do not have a specific timeline for implementing the feature that includes sales representative names on invoices in QBO. I encourage you to submit your feedback to our Product Development team. Your suggestions are incredibly valuable to us and will be taken into account during product updates. Let me guide you on how:

 

1. Select the Gear icon, then choose Feedback.

2. Enter your comments or product suggestions.

3. Select Next to submit.

 

In the meantime, you will need to manually review each invoice to ensure the sales representative’s name is included. This can be done by accessing the invoice details in QuickBooks Online and entering the sales rep's information. While this process requires a bit more effort, it will help maintain accuracy and consistency in your records until an automated solution becomes available.

Once you have successfully linked your payments to the invoices, QuickBooks provides a range of reports that help you verify the information and ensure its accuracy. josuelopez00  Though as now its not possible in QBO to display a pop up for the custom field ( sales rep) requiring to add the missing info ( Sales rep name) while one of your team member tries to save an invoice without the sales rep name. 

 

But there is a workaround for this issue. We have to use the class feature of QBO to get this done. QBO will show a warning pop up that class is not assigned if any invoice is tried to be saved without class name ( sales rep name).

 

Steps:

1, Enable class field in QBO invoices if not done active already ( Settings > Advanced > Under category option tick Track classes > Tick "Warn me when a transaction is not assigned a class ")

2, For option Assign classes : You can use "One to entire transaction".

3, Once classes are enabled , we can create classes in the name each sales rep in company ( QBO supports classes for version starting Online Plus ). To create classes go to gear icon > All lists > Classes.

4, No the sales rep will be prompted  to add the sales rep name if they try to save the invoice without rep name. You can disable the Sales rep field as it may cause confusion to the team.
