Searching invoices by lot number

I use QB Pro Online. I'm wondering whether upgrading to Enterprise would allow me to enter lot numbers for each product that is on it, and then later search invoices by one of those lot numbers.

Searching invoices by lot number

Let me share some insights on how lot numbers to track inventory works in QuickBooks Desktop Enterprise, ap26.

When you upgrade to QuickBooks Desktop Enterprise, it lets you track inventory with serial numbers, and lot numbers, with expiration dates when you turn on Advanced Inventory. We use lot numbers if you:

  • Buy items in lots.
  • Keep track of which customers bought items from a specific lot.
  • Need a recall report in case you have to track all the items from a specific lot. (Like which items are in inventory and who purchased them).

With regards to your concern, we can enter lot numbers for each product on your invoice. We'll need to turn on the lot numbers feature to track your inventory items. Here's how:

  1. Go to Edit on the top menu, then select Preferences.
  2. Choose Items & Inventory, then Company Preferences.
  3. Click Advanced Inventory Settings, then select Serial/Lot Number & Expiration Dates.
  4. Select Activate Lot or Serial Numbers, then select Serial Numbers or Lot Numbers.
  5. Go to Show serial or lot number in and choose the transaction types you want to show serial or lot numbers. QuickBooks adds a serial or lot number field to most purchase and sales forms including:
    • Item receipts
    • Bills
    • Credit card transactions
    • Checks
    • Invoices
    • Credit memos
    • Sales orders and pending invoices

Make it mandatory to enter serial or lot numbers on invoices, sales receipts, item receipts, inventory transfers, and adjust quantity on hand. Go to For the selected transactions and select Make serial or lot number mandatory.

       6. Press OK.

Once done, assign lot numbers to existing inventory. Just follow the steps and details in this article: Use Serial or Lot Numbers and Expiration Date. Then, go to Assign serial/lot numbers to existing inventory section.

Additionally, I've included an article that'll help you assign a unit of measure in QuickBooks. This ensures you can easily track your items: Show Quantities, Prices, Rates, and Costs for an Item.

I'm only a few clicks away if you need assistance in managing your inventory in QuickBooks. It's always my pleasure to help you out.
