Tracking insurance expiration dates for sub-contractors in QBDT

I am using QBDT 2022 for a custom homebuilder and need to track the expiration dates of sub contractors' worker's comp & gen liability insurance.  Is this possible in QBDT?

Yes, it's possible:

Per@qbteachmt , "If you Install Enterprise or Premier as the Contractor Edition, you already see these fields provided in Edit Vendor and they are Functional and reportable. You would run a report to include the vendor List info for General Liability Expires and WC Expires, for example."

Yes, it's possible:

Intuit has removed this extremely helpful feature from the 2023 desktop Premier version.  Do they have plans to bring it back.  As stated earlier this is one of the best upgrades that they have done for contractors and now it is gone.

Good news! The feature hasn't been removed.  As has always been the case, it's only available in the Contractor edition, or the Accountant edition when you've toggled to Contractor mode (my case):

That's great! I appreciate that information! I am new to the Accountant version but always used Enterprise. Spent 5 hours on the phone today and got nowhere. This just made my day! Thank you!

I am able to toggle to the contractor edition on my PC but cannot figure out if it is possible on my MAC.  Most of my clients are on the PC but I have 2 builders I need to support on the MAC.  Is it possible?  If so, I need your expertise please.

I'm not sure if toggling SKUs is a thing on the Mac.  If you don't see it, I expect not.

Probably not. QB Online is quite weak compared to QB Desktop and has far fewer features like this.

 

Intuit pretends they're more the same than they really are.

Hi there, @Mike29.

 

Let me help you auto-alert with a pop-up or email when the Gen Liability or Work Comp expiration is approaching in QuickBooks Desktop (QBDT). 

 

Before anything else, please know that the feature to track these items is only available in the Contractor and Accountant edition. If you switch to Contractor mode.

 

However, if you have a different edition, you can create a bill reminder and set it to notify before the due date. Here's how:

 

  1. Open the bill.
  2. Click Memorize, then choose Add to my Reminders List.
  3. Choose how often you want to be reminded. Then, enter the date in the Next Date field.
  4. Click OK.

 

On the other hand, in the upper right corner. Under the Company. You can set up any kind of reminder with a Date to show up. In the Preference, you can also set how many days in advance you want something to show up. Feel free to follow these steps: 

 

  1. Go to Edit at the top menu bar, then Preferences.
  2. Scroll down and click Reminders.
  3. Choose the My Preferences tab.
  4. Put a checkmark in the Show Reminders List when opening a Company file.
  5. Go to the Company Preferences tab.
  6. Select those reminders you need based on the one you've set up.
  7. Click Ok

 

However, it was often left at 0, and you scheduled the reminder when you wanted it to show up. In the description, you can put something like XYZ's insurance expires next month or expires, etc. Also, you can look for a third-party app that can help you notify when a due date is near.

Why did is the feature now unavailable? Who took it away and why would you do that?

Thanks for the help. This functionality is already baked into our calendar apps where we keep our schedules where we can manually enter and update events and notifications. I was trying to hopefully just turn on a setting so it gets done for free because we have a massive list of vendors and the data entry and maintenance is extremely daunting. Remembering to keep setting all this up with the churn is also a tough ask. QB alerts us when the payroll needs an update and other important dates that are approaching without having to manually set and maintain such alerts manually. I was just hoping to get that same functionality here as it is mission critical in Construction software.

I am aware of the advantages for businesses like yours to alert you with an email or popup or something when the due date approaches. I want QuickBooks Desktop to have this feature as much as you do. However, I strongly urge you to share your thoughts with our software engineers. They carefully examine customer feedback, especially when determining how to improve QuickBooks.Here's how:

 

  1. Go to the Help menu at the top.
  2. Select Send Feedback Online.
  3. Click Product Suggestion.
  4. Click on the drop-down for Type of Feedback and select Product Suggestion.
  5. Select the Product Area.
  6. Enter your thoughts and suggestions.
  7. Click Send Feedback.

 

For future help, you can customize the data, add or delete columns, and add or remove information on the header/footer of the report: Customize reports in QuickBooks Desktop.

In QuickBooks Online, there's no option to track the expiration date of your subcontractor's insurance. No worries, I have a workaround for you.

 

You can consider creating a liability account to track the unpaid balance for the insurance. Then, set up a recurring expense and assign it to the liability account. It will gradually reduce the amount until the recurring expense ends, indicating that the insurance has expired. I can show you the steps on how to create an expense account.

 

Here's how:

 

  1. Go to the Gear icon. Select Chart of accounts.
  2. Click New. Enter any name for the account you'll create.
  3. Under Account type, select Other Current Liabilities or Long Term Liabilities.
  4. Choose the appropriate category in the Detail type dropdown.
  5. Hit Save and close.

 

In creating a recurring expense, follow these steps.

 

Here's how:

 

  1. Click the +New icon.
  2. Select Expense. On the very bottom of the transaction click Make recurring.
  3. Enter all the necessary information.
  4. Click Save template.

 

On the other hand, you can also consider sending a request to our product developers to let them know about your request. I understand how important this feature is to your business. Our product developers may consider adding this in the future.

Here's how:

 

  1. Sign in to your QBO account.
  2. Click the Gear icon at the top, then Feedback.
  3. Enter your comments or product suggestions.
  4. Press Next.
     

Once done, our designated team will review it. You can track your future requests through the QuickBooks Online Feature Requests website.
