Tracking Mileage and Mileage Reports

Hi there, I'm a little stumped.

 

I run a sole Prop on QB Desktop Pro 2018. I drive to the office to see clients, and I drive to clients' homes and offices.

 

I've entered the mileage for each trip in the corresponding Customer's Information page.

 

But I can't find a report that will total or even acknowledge the mileage for any customer or invoice. It's crazy I would have to do this by hand again, but it looks like I will.

 

Isn't there a way to have QB automatically apply the mileage so I can just run a report for it?

 

Any help with this is appreciated!

We recognize each company has unique needs, Corki.

 

I can see how beneficial it is to your business for QuickBooks to automatically apply the mileage. However, this option is unavailable in QuickBooks Desktop.

 

We can manually track the mileage for your business vehicles. Just use the mileage information for tax deductions for your vehicles, and to bill customers for mileage expenses.

 

Then, run the Mileage reports by Vehicle Summary/Detail and by Job Summary/Detail. Just go to the Reports menu and choose Jobs, Time & Mileage

You can also customize the reports and export them to Excel. This way, you can modify the report to come up with the mileage data you need.

You'll want to check out our Intuit Apps Store. Then, look for a third-party application that can help automatically apply the mileage into QuickBooks. If you have any concerns or issues, feel free to contact the third-party product provider.

Thanks for the quick response!

 

Even though I have the mileage completed in the customer information section these reports result in zero information, as if no mileage was calculated at all. 

 

What part of this am I missing?

Customer Information  has mileage

I run the mileage report for the customer

The report shows 0 mileage.

Thanks for coming back, Corki.

 

To show the mileage data in the report, we need to track the mileage properly for your business vehicles. Let's make sure we enter the current mileage rates, add the vehicle to the list, and enter the mileage on the Enter Vehicle Mileage page.

 

To enter vehicle mileage rates, just follow the steps below: 

 

  1. Go to the Company menu and click Enter Vehicle Mileage
  2. Click Mileage Rates.
  3. Select a date from the calendar for the Effective Date and press Tab.
  4. Enter the IRS rate for that date, then press the Close button.

 

QuickBooks calculates the appropriate mileage expense based on the dates and rates you enter in the Mileage Rates window. Just keep your mileage rates up-to-date so you can always take advantage of the latest IRS deduction rates for your business vehicles. 

 

Then, add your mileage in the Vehicle list. Here's how:

 

  1. In the Enter Vehicle Mileage window, click Vehicle List.
  2. Click the Vehicle menu and choose New.
  3. Enter a name for the vehicle and description.
  4. Tap OK.

Lastly, enter the vehicle mileage. Just follow the instructions below:

 

  1. In the Enter Vehicle Mileage window, select the vehicle (or add a new vehicle) for which you want to enter a mileage record.
  2. Enter the start and end dates for the trip.
  3. Enter the mileage from the odometer start and end readings. QuickBooks will calculate the total mileage for you, based on these numbers.
  4. If you selected to bill a customer for the mileage, click the Customer:Job, Item, and Class drop-down lists. 
  5. Save your mileage record by clicking the Save & Close button. 

 

Once done, follow the steps I've provided to run the Mileage report.
