Unable to Print or Email Invoices

I am unable to print or email invoices. This has been happening since updated to the new Desktop 2024 Premium version.  I have run the Quickbooks Tool Hub various times and run software updates still nothing.  I cannot save as a pdf and email to my customers!  I am very upset with Quickbooks, I cannot get anyone on the phone to help me, the phone tree keeps hanging up on ME!  Can someone help with this!

Thank you, but I have checked all these, The Temp file security settings are all on FULL,

 

When following the instructions to print the Notepad document, I do not have XPS Document Writer as an option, I do have Microsoft Print to PDF, is this the problem?

 

My Print Spooler is Set to Automatic.  Is it the XPS Document Writer Issue?  I am running the latest version of Windows 11.

Since you're still experiencing the same issue, I suggest contacting our QuickBooks Support team again so they can further sort this out and assist you using their tools.

 

Here's how:

 

  1. Open QuickBooks.
  2. Go to Help, then select QuickBooks Desktop Help/ Contact Us.
  3. Select Contact Us.
  4. Enter a summary of your concern, then select Continue.
  5. Sign in to your Inuit account and select Continue.
  6. From there, click Continue with my account.
  7. We'll email you a single-use code. Enter your code and select Continue.
  8. You can either choose Chat with us or Have us call you.

 

Lastly, I'd recommend checking your email for you to be able to know if it's the best time to update your software using QuickBooks Email: Make sure your QuickBooks Email service continues to work.

Unable to Print or Email Invoices

I went the process and all of the settings are correct for the Temp folder and the Print Spooler.  In testing the Notepad document print function, the XPS Document Writer is not an option.  I do however have Microsoft Print to PDF.  Is this the issue?  Does the Intuit print function require XPS Document Writer and why wont it email? Is the email issue a result of the fact that it will not create a pdf emailable document?

QuickBooks uses parts of the XPS Document Writer (Microsoft Windows product) to save as a PDF.  Since you don't have this option, this could be the reason of why you're unable to print and email the invoice. That said, I recommend contacting your IT professional or Microsoft for further guidance in setting this up on your computer.

 

Here are some steps you can take with the help of an IT professional:

 

  • Ensure that XPS services are enabled. Here's how:

  1. Press Windows + R on your keyboard.
  2. Enter optional features and select OK.
  3. Find Microsoft XPS Document Writer and make sure it's selected.
  4. Select OK.

 

  • Test the XPS Document Writer and print it outside QuickBooks.
  • Adjust security software settings to prevent .xps files from being blocked.
  • Modify Windows user permissions for the XPS Document Writer.

 

Alternatively, you can make use of the Microsoft Print to PDF option to save the invoice in PDF format and then print it outside of QuickBooks. 

 

On the other hand, to utilize the email functionality within the program, it is essential to ensure that your QuickBooks Desktop is updated. However, in case your version is already on the latest release but still unable to email invoices, you can opt to email the downloaded file from the previous steps directly to your customer outside of the program as a workaround.
