How do I void (not delete) a bill that has not been paid. All the instructions I've found do not apply. In Desktop, you could void easily.
Hi there, @snirp. I'm here to share some info about voiding a bill in QuickBooks Online (QBO).
In QBO, the option to void an unpaid bill is unavailable. You can only perform this action for certain transaction types and bill payments. For reference, feel free to check this article: Void or delete transactions in QuickBooks Online.
As a workaround, you can delete the bill by utilizing the More option. If in case there's a need to recreate the transaction, you can simply run the Audit Log report to recover the details.
I know how important it is to have this option in managing your books. We'd love to hear more of your insights about this and encourage you to send feedback to our product developers. Rest assured that they review all the submitted requests and consider adding them to future updates. Here's how:

RE: In QBO, the option to void an unpaid bill is unavailable.
Why did intuit take away that option and make it unavailable? That doesn't make sense.
Voiding is the normal / accepted way to handle, well, literally a voided transaction. Like a bill.
RE: You can only perform this action for certain transaction types and bill payments.
That's confusing. Isn't a bill payment a transaction type?
RE: I know how important it is to have this option in managing your books.
Oh, you do? Then why doesn't it exist in QuickBooks Online? QuickBooks Desktop has had this ability for decades.
So you are saying I cannot void a bill that we no longer owe money to? That's ridiculous.
RE: That's ridiculous.
An apt description of QuickBooks Online, in just two words!
Seriously, you'll see indefensible limitations like this regularly when using QuickBooks Online.
I don't understand it, given that Intuit pushes QuickBooks Online so much. It used to be that Intuit marketed Online to customers with simpler needs, like very small businesses, since QuickBooks Online lacked so many features found in QuickBooks Desktop. Then, it seems without adding those features, they decided it'd be good for everyone - though it still lacks most of the same features. Cart before horse, if you ask me.
Voiding a bill in QB Desktop just made the transaction $0 and put the word "VOID:" in the memo field. You can do the same in QBO manually. QBO just doesn't have a Void function to execute that automatically. Can you enlighten me - in what scenario would you want to void a bill instead of deleting it? I certainly understand voiding a payment as you need to retain a record of the check number for internal controls.
RE: Can you enlighten me - in what scenario would you want to void a bill instead of deleting it?
Personally I'd delete it, but then (presumably) voiding transactions is considered better by some accountants, for whatever (GAAP?) reason. Are the reasons to void or delete any different for checks or invoices or bills or any other type of transactions? Not sure.
We have a vendor whom has materially breached our contract. We will not be paying them. However, I do not want to delete their bill from QBO. I would like to void it so it no longer appears on our aging as a bill to be paid. The option to void a transaction --- any transaction --- should be allowed in all aspects of QBO. I am not a fan of this product and find it frustrating to have to work around their ongoing limitations.
I can see the importance of being able to void a bill, Professional.

Change the bill to $0 and type 'VOID' in the memo field. That will close the bill and remove it from A/P. That's all the void option did in QB Desktop. Very easy.
If you delete a bill in the say month, that would be fine. If you are dealing with a bill from a prior month, then deleting would cause things to be out of balance.
