Our Quickbooks Desktop Pro 2017 hit the Total Names limit of 14,500 again.
We planned to go to QB Online, but can't do it until next year.
We can't afford Enterprise.
Past years I simply manually delete a large group of Old Customers, by deleting the Deposits of their Payments, deleting their Invoices and Payments, then deleting their Job and then the Customer.
Manually doing a lot of Alt-E, D, enter
Does Anyone know of a Faster process?
Hello there, KenRea.
Yes, the maximum number of total names in QuickBooks Pro/Premier is 14, 500.
You can read more about the maximum number of list entries in QuickBooks Desktop in this article: Maximum number of list entries (list limits and custom fields).
If you've reached the maximum number of entries and require more, you'll need to manually delete some Employees, Customers, Vendors, and Other Names combined. Because the QuickBooks Desktop version you're using doesn't have an option to delete multiple names or entries.
You can also check out this link and look for a third-party application that will help you delete multiple name entries.
If you have any further questions about adding and deleting customers in QuickBooks Desktop, please let me know; I'm always happy to help. Have a wonderful day!

If you only have a single user to access QuickBooks, utilize the trial version for QB Desktop Enterprise as a workaround until you are ready converting data to QB Online. You will start with QB Desktop 2017 Enterprise until QB Desktop 2023 Enterprise. You will have up to 7 months to consider your options.
We have 2 users.
Hasn't anyone needed to Reduce their old Customers to Reduce their Total Name count?
Hi KenRea,
You can delete a customer to reduce the total name list. I'm here to help you with it.
Here's how to delete a customer:
If you want to keep your old transactions in QuickBooks for prior years, you can condense your company file data.
Keep me posted whenever you have concerns managing your file.
I posted a Reply. Where is it?
I stated that you can't delete a Customer without deleting it's Jobs, Invoices, Payments and Deposits of the payments.
We DON'T like Condense since it's hard to work with it.
Hi KenRea,

You can purchase a 3rd party condense service. But for your case, I would recommend purchasing a license for the QBD Enterprise Silver edition for 2 users by monthly subscription. Your total spend for 5 months will be less than $1000 until converted to QB Online.
I purchased SaasAnt Deleter for $75 for 1 year.
I was able to delete Deposits and Invoices fairly quickly.
However, it had a problem Deleting Payments.
I Chatted with Support, with no correction.
They will call me tomorrow.
WHY doesn't QB Desktop Pro have a process, other than manually deleting one associated item at a time?
You have clicked a link to a site outside of the QuickBooks or ProFile Communities. By clicking "Continue", you will leave the community and be taken to that site instead.
