Scan a Barcode, Directly input to QB

I want my technicians to use a scanner, go to a drawer, scan a bolt and that item land in the items list when I generate an invoice.  I don't want to create a purchase order, a sales order, or have my technicians use a point of service system or have access to QB.  I simply want to scan a bar code, and it go directly to the create invoice

Scan a Barcode, Directly input to QB

It's great to have you here, @KelleOeste.

I can guide you on how to include the scanned barcodes in creating an invoice.

Here's how:

  1. Click the Customers menu.
  2. Choose to Create Invoice.
  3. Enter the Customer’s name.
  4. Click the File menu.
  5. Select the barcode scanner you're using.
  6. Choose Initialize Barcode Reader.

Once started, you'll see a small window that will show the status whether the item you scanned is successfully entered on the invoice.

Scan a Barcode, Directly input to QB

hi @KelleOeste ,

If you want users have no access to QuickBooks , you have to deploy an add-on for inventory management. It will scan the barcode and populate data back to QuickBooks using mobile phone. I may recommend a solution for your needs. Your team may also create invoice on the customer site using their mobile phone and (again) it will populate data back to QuickBooks. Are you located in US? PM me your contact details to let me ask the provider contact you in due course.

Scan a Barcode, Directly input to QB

Thank you for your response, but we maybe skipped a step, the part I am focused on right now is how to get the info from a scanner to QB.  I tried using an android device and the Quickbooks Warehouse App, but I could not scan anything.  It required a pick order or a purchase or sales order.  I want to use a scanner to select a bar code, then quantity and then that information be available in QB.  Is it possible to find an app that does not require a purchase order or sales order or item pick list first.  To simply have a technician go to a bin, select that item and quantity on a scanner and somehow sync the info to QB?

Scan a Barcode, Directly input to QB

Hello, @KelleOeste.

I'd like to help add some details about scanning barcode in QuickBooks.

Yes, you're right, you'll need a pick order or a purchase order to get the info from a scanner. Scanning a barcode to directly create an invoice isn't available at this time.

I can route you to our marketplace to find an app that may directly sync the information from your scanner to QuickBooks. You can click on this link: Apps for QuickBooks Desktop.

You can type in the keyword in the Search field. Then click the View Profile tab to show the features and benefits of this app.

Keep me posted if you have additional questions about the barcode scanner. I'm here to help.

Scan a Barcode, Directly input to QB

I think I'm using the wrong app.  We are not a warehouse.  We are an auto restoration shop.  I can't create an order of any kind, I have no idea what bolt or inventory item my 18 techs are going to need till they choose it, so I wanted them to be able to scan a barcode and the info come to QB so that I can add it to a customers invoice.

Is there a way that the scanner can by synced to QB and it create something that then goes on my time and expenses invoice?

I think I need a different app.  We are not a warehouse.  Is there one more directed toward a shop working on cars, installing parts?

Scan a Barcode, Directly input to QB

hi @KelleOeste ,

You don't need to have a warehouse to manage the inventory. Once you have any inventory in your business process, you may need an inventory management. The solution we have mentioned earlier is applicable to automotive supply stores, auto part store, body shops, auto repair center, and other similar business. You may ask their case study for your reference later.

Hope it helps.

I already have all my inventory items entered into QB.  Can you send me the name of an app you are recommending.  For the life of me I can't figure out how to PM you directly.  Sorry.
