Hi,

I have made a custom role for one of my employees but am running into an issue. I don't want her to have access to the P&L's and Balance Sheet, but I do want her to have access to the Standard Bank Deposits. I've attached some screenshots below as to her permissions.

It's good to see you posting in the Community forum, Mragu18. And thank you for adding a screenshot.

I'm here to help in setting up your employee's user access.

When granting a user access to the Sales and Expense reports, the user won't be able to access advanced or financial reports like Balance Sheet or Profit and Loss. In this case, you can select both reports to enable the user to view common sales and customer reports, as well as expense and vendor reports.

Moreover, if you want to provide access to view the Standard bank deposit, you can select the bank deposit option under the Bookkeeping section.

To help you create and manage custom roles for your QuickBooks Online (QBO) users, see this article for a guide: Add and manage custom roles in QuickBooks Online Advanced.

If there's anything else you need help with, let me know by commenting below. I'll be happy to lend a hand.

Hi,

Thank you for the reply. If you look at the attached screenshot, she has full access to bookkeeping. However, she still is getting the statement that she doesn't have permission when trying to view the deposit sheet.

Is there a way to give her access to custom reports but not management reports?

Thank you for coming back to this thread, Mragu18.

I know how significant it is for you to allow only limited access to your employee in QuickBooks Online (QBO). However, this feature is not yet available.

All user role in QBO have full access to both custom reports and management reports. With this, please know that our Engineering Team is always working on implementing features that'll help our customers. This said, I recommend sending feedback so they can consider adding this feature in the future updates.

Here's how:

  1. Go to the Gear icon, and select Feedback under Profile.
  2. Enter your product comments and suggestions, then click Next to submit.

In addition, I also added this article to help you in case you wish to add an accountant on QBO: Add accountant users in QuickBooks Online.

If you have other user role-related concerns, feel free to get back to this thread. We are always here for you.
