Split 1 Customer into 2 Customers

One of our clients is a law firm, we've been treating them as one company for years. All of our estimates and invoices went to a single contact and that person would then forward each est/inv to the appropriate lawyer. The lawyers themselves would send us checks back.

The group is splitting and we need to create a new customer. We would like to transfer over all of this individuals history into the new company. Is there a way to split the current customer into 2 customers? Our first idea was to create a new customer and manually move over all his history but we can't seem to move invoices with payments because those payments are associated with the current client. Is there a way to select a group of invoices, payments, and estimates etc and move them from one client to another? The easiest thing to do would be to copy the client and mass delete the duplicates, but that doesn't seem to be an option either.

Split 1 Customer into 2 Customers

Thanks for sharing your thoughts and ideas with me, @DarthNO2.

I’m here to share some insights about moving transactions to another customer in QuickBooks Desktop (QBDT). If you’re trying to move them within the same company file, you can open the transactions and rename the customer.

To easily move the transactions, I’d recommend working with an accountant that has a QBDT Accountant software. They have the tools to use the Reclassify Transactions tool and move the transactions by batch.

Moreover, if you’re using a different company file, I recommend using the IIF. File. Let me show you how.

To export lists to your QBDT:

  1. Go to the QuickBooks File menu and select Utilities.
  2. Click Export and then IIF Files.
  3. Select the checkbox corresponding to the list/s you want to export then click OK.
  4. Type a file name and choose the location where you want to save the IIF file.

Then to edit the data:

  1. Right-click on the exported file.
  2. Select Open With and click Microsoft Office Excel.
  3. Click Yes if a warning about incompatible features is displayed.
  4. Edit the data in the file then select File and then Save.
  5. Then backup your company data file as imports can’t be undone.

To import the edited IIF file:

  1. Go to the File menu.
  2. Select Utilities then Import.
  3. Click .IIF Files.
  4. Locate the edited IIF file then select Open.

You can also read through this article for more details about this process: Tasks you can do with IIF files.

Additionally, let me share with you this link that lets you personalize your invoice and add more details to it: Use and customize form templates.

Please let me know if you have other concerns or questions about managing your customers or your QBDT software. I’d be more than happy to work with you.

As another option, utilize one of these 3rd party migration tools.
