Transferring Data from Online to Desktop

I transferred my data from Quickbooks Online back to Quickbooks Desktop and now my checking account balance doesn't match what was in Online and a few of my numbers on the Profit and Loss don't match...

Is there an easy way to find out what didn't transfer correctly in the checkbook other than going through the entire checkbook trying to find out what it messed up?  It messed up my main checking account by $193.37 and also a checking account that had been zeroed out due to it being closed - it gave it a balance again.  So now I have to try and find what it messed up to get rid of the balance and get it back to zero...

Also with regard to the Profit and Loss numbers, it appears that it is reporting numbers differently in each version...For example, one of the accounts that is different is an income account.  When I opened that particular account and ran the report for that person for each version to see what was different, I noticed that the difference was an invoice where I had applied a client retainer.  The Desktop version was using the amount actually paid to compute the balance and the Online was using the total billed...do I need to worry about this?

Any help would be greatly appreciated.

Transferring Data from Online to Desktop

Thank you for visiting again the QuickBooks Community, funnygirl238. Let me discuss how migrating your data from QuickBooks Online to QuickBooks Online works. Then, ensure you can perform some steps to successfully transfer your company file smoothly.

When you move from QuickBooks Online to QuickBooks Desktop, you may notice contrasts in how your books appear or things will look differently. That's the reason why your checking account balance doesn't match what was on the Online version and a few of your numbers on the Profit and Loss don't match.

To fix this, pull up again the Profit and Loss report in QBDT to compare it with what is on the QBO. Then, you'll have to run them on Accrual basis for them to match. That way, you're able to find out what information didn't transfer correctly and how the program computes the balance for invoices.

If they still don't match, this is usually a mismatch because of export limitations and the use of unsupported versions of Internet Explorer. To resolve this, you can convert your file again. Please know that converting a second time can fix this problem.

Here's how:

  1. Go to File in the Desktop version and select Close company.
  2. Go back and try to convert your file again.
  3. After it finishes, check the Profit and Loss reports again.

If the issue continues to occur, I recommend entering manual adjustments to fix balance discrepancies by creating a journal entry. Beforehand, I recommend consulting an accountant for additional assistance to ensure your records are in shipshape. They can offer advice on how to handle the transaction.

  1. Go to the Company menu and select Make General Journal Entries.
  2. Fill out the fields to create your journal entry. Then, make sure your debits equal your credits when you’re done.
  3. Click Save or Save & Close.

Lastly, I'm adding this article to further guide you in effectively managing your business using QBDT: Help guide for QuickBooks Desktop. It contains topics about advanced accounting, banking, and payments.

Let me know if there's anything else you need help with transferring data or any related concerns about QBDT. I'm always here to help you anytime. Take care and keep safe, funnygirl238.

I did convert the file again but ended up with the same result so that was a bust.  I guess I'll have to get our accountants to do journal entries to fix what Quickbooks didn't transfer correctly...If It can move it correctly in the first place from desktop to online it should be able to move it back correctly.  They definitely need to fix this issue. This is definitely frustrating.

I agree, it’s seamless to move it data fro qbdt to qbol.  There is a reason fo this.  Intuit has devoted a lot more resources to get your data to qbol because this is we’re they are making more money.  I had a representative transfer my data in both directions no problem getting data online but to desk top I can’t run any reports, employees are incorrect, I have to reassign accounts to all the checks I’ve written, etc.  I’m excited to see what else I’m missing and doesn’t work.

At least for QBO US users, you still have a shorter way and cheaper to convert data to QB Desktop than other QBO regions. Otherwise, you have to pay a 3rd party conversion service.

I feel like my data was stolen.  All my data was uploaded from desktop to online and because online is a rip off I’m going back to desktop and my data is no good

@sdc4

When did you convert data from QB Desktop? Do you still have the last backup file? You can only need to convert the rest of data from QBO.
