Trying to Import Inventory Part into Quickbooks Desktp Via Excel Advance can't Map SUBITEM IF

Welcome to the Community forum, rc68nyc.

When importing inventory parts with parent-child relationships into QuickBooks Desktop (QBDT) using the Advanced Import feature, you may encounter difficulties mapping the "SUBITEM IF" field.

To resolve this issue, you can use the "ListID" field to establish the parent-child relationships during the import process. Instead of mapping the "SUBITEM IF" field directly, make sure that each child item includes the ListID of its parent item in the "ParentRefListID" column in your Excel file. This will link the child items to their respective parent items. Before doing so, please make sure you create a backup of your company file for future use.

Then, during the mapping process in the Advanced Import feature, you can look for the "ParentRefListID" field and map it to the corresponding column in your Excel file that contains the ListID of the parent items. Before proceeding with the import, double-check your Excel file to ensure that the "ParentRefListID" column contains the ListIDs of the parent items for each child item.

By using the "ParentRefListID" field to establish the parent-child relationships and mapping it correctly during the Advanced Import process, you should be able to import your inventory parts with the appropriate parent-child structure into QBDT.

If you continue to encounter issues, you can consider reaching out to Customer Care Team. They can perform a screen-sharing session to help you further with the import process.

Trying to Import Inventory Part into Quickbooks Desktp Via Excel Advance can't Map SUBITEM IF

Hi Mirriam

when you stating that i should use ListID , are you referring to Item Name/ Item Number ? which basically is the SKU?

so if i understand correctly , what you asking me to do is the add the Parent Name before the Item Name?

for example if the parent name is JA15112G1IJP0102 and the child is 6XGVHO-KNYQ-41, i should sent the Item name like this  JA15112G1IJP0102:6XGVHO-KNYQ-41 ? is this correct ? if this is correct this will not work for me since the whole idea that i am adding the products to QB , is the sync data from amazon, eBay and Walmart and shopify to QB , and all the skues on all my selling channels are XGVHO-KNYQ-41, so if i add the parent name before that i will not be able to sync the information , the item name should be as is

if i did not understood what you mean , than please help me understand on where do i find the ListID

there is no ListID on mapping

by the way i added a screen shot on my original post , why its not appearing online

Thanks for getting back here in the thread, @rc68nyc. We have information to help you through this and import your inventories inside QuickBooks Desktop (QBDT).

Upon reading through your response and the previous representative's recommendation, we can say that you understand the details that our colleague provided. Since you can't add the Child before the Parent item name, you can utilize a third-party app to help you accomplish this feat. You can visit this page to find one: https://desktop.apps.com/home

Feel free to visit this page for other available options: Import or export MS Excel files.

Moreover, we recommend checking these pages to help you secure a backup copy of your company data and keep them accurate inside the program:

Trying to Import Inventory Part into Quickbooks Desktp Via Excel Advance can't Map SUBITEM IF

Hi There

what i am not understanding is why QB do not add they filed call "subitem if" in the mapping, it is exist in the Inventory Part, so why there is no mapping for this filed???

all the other fields do exist on the mapping , but not the "subitem if" , which is very wired

i can copy and past the information to QB in the Add/edit Multiple List Entries, buts its a lot of Skues , so i have to do it in small batches , and i don't know if its worth it for me to go trough this hassle

i guess i will add the units as an individual skues and not group them as parent and child , since my main goal is to sync transactions from Amazon , eBay and Walmart , to figure out the cost of good sold, and my bottom line profit,  none of the apps i demo,  will be able to do this

but thank you for your help ,

I understand the advantage of having a mapping field for sub-items when importing inventory part, rc68nyc.

Currently, this option is unavailable in QuickBooks Desktop. I see how important it is to you since it saves more time, so I'd recommend sending feedback to our product development team. They'll carefully review your idea and may consider it for future updates.

  1. Hover to the Help menu.
  2. Select the Send Feedback Online option.
  3. Choose the Product Suggestion and a pop-up window will appear.
  4. Type your feedback suggestion in the space provided.
  5. Click the Send Feedback button.

We deeply value your ideas and suggestions.

I'll be adding articles to help you update or adjust your inventory quantities:

Moreover, you can generate a report that provides detailed information on the performance of your business, such as the number of products sold, the revenue generated, and the profit margins. This information can assist you in making well-informed decisions about your business strategy while also identifying areas for improvement.

You can return to me again if you need further information about mapping fields. Kindly tap the reply button to enter your response. Please know that I'm always here to help in any way.

Trying to Import Inventory Part into Quickbooks Desktp Via Excel Advance can't Map SUBITEM IF

Hi there, @rc68nyc.

I'm stepping into the thread to share with you some insights about updating item prices in QuickBooks Desktop (QBDT).

Please keep in mind that the Price/Amount or %Rate mapping option is intended for the sales price. It's also best if try to see if there's any problem with your Excel, and a few updates often fix this issue. We wanted to ensure that the latest release you have with QuickBooks is compatible with your updated Microsoft Office. We can try updating the existing Excel worksheet within QuickBooks Desktop.

Here's how:

  1. Open your QuickBooks and open a specific report.
  2. Go to the Excel button.
  3. Select Update Existing Worksheet.
  4. Click the Browse button to look for your existing worksheet.
  5. Select Export

Moreover, aside from modifying the prices of an existing item via the Add/Edit Multiple List Entries or by opening each item manually, you can also use the IIF file to move your updated item list to QuickBooks.

  1.  Prepare your file.
  2. Back up your company file before you import IIF files. This way, you can use your backup to restore your data if you ever run into problems.
  3. Sign in to your company file as an admin. If you’re in Multi-user mode, go to the File menu, then select Switch to Single-user Mode.
  4. Go to the File menu, then select Utilities.
  5. Click on Import, then select Import IIF.
  6. Select the IIF file you want to import, then select Open.
  7. Hit OK to confirm the import.
