Buy now & saveI started a new business in QB 21 for Mac and the checks numbers are not auto filling the screen like in my other business. In the check number it says "to print" and it can't be changed. I found an icon at the bottom that will switch it to check numbers and then I can enter in a number but it switches back on the next check. I checked my check settings and they are the same for both businesses.
Solved! Go to Solution.
I figured it out. I created a new check and toggled the print off then entered in all the info and started with check #1. Not my real check number which was a four digit number. Then when I created another new check and it started as #2 like it is suppose to. Then I created a 3rd check and set it to my correct number and now all the checks start with numbers in the correct order. Apparently if you start new like I did and enter in a check number other than 1 it will accept it but go back to print only and not allow numbers for the next one. Hopefully this helps out someone else in the future.
Hi there, guypwill1.
I'll share some information about assigning check numbers in QuickBooks Desktop for Mac.
The Check preferences and the QuickFill feature have different functionality. However, these settings won't affect how you assign check numbers when writing a check or creating a check payment for vendors.
When paying bills, you have a choice in how check numbers are assigned for tracking purposes. You may not be paying by check, but you can enter "ATM" or a reference number if you paid the bill online. Thus, you can choose the following option below when recording a check.
Also, if you write checks by hand, select Assign check numbers. You’ll be prompted to enter the check numbers you used.
Furthermore, you can turn on the Warn about duplicate check numbers in the Check Preferences to avoid creating duplicate checks. I've added this link for more information about the user guide: QuickBooks Desktop Mac 2021 User’s Guide.
Return to this thread if you still have other concerns about checks in QuickBooks Desktop for Mac. I'll be here to help.
Thanks for the tips but nothing mentioned fixes my problem. I know it works like I want because my other business works fine. Basically I need to have the "save to print" turned off to get the numbers to come up. I can turn it off for each check I write but it defaults back to on for the next check.
I appreciate the reply with additional updates, guypwill1.
It looks like this is a file issue since it's only happening in one of your businesses.
In this case, you can Verify/Rebuild Data Utility Tool. This tool finds the most common data issues in a company file and fixes them. Let me share this article as a guide: Verify and Rebuild Data in QuickBooks Desktop for Mac.
Once done, please go back and create a test transaction. Then, check if the numbers are now auto filling.
Just in case you are still getting the same issue, I would recommend reaching out to our support team. They can take a closer look at this and help you make sure this is sorted out.
Here's an article on how to get their contact details: Contact QuickBooks Desktop Support.

I tried rebuilding all files and data with no luck. QB support couldn't help either. They said I had to get a subscription for 30 a month to get more help. Thanks for you help I will continue to play around with it and will post if I figure it out.
