Vendor posting detail

I need to pull a report for a time period that shows all vendor expenses with posting detail. My client does not use Purchase Orders, so all expenses are entered either as Bills or Expenses. I can't find a report that will show the line item detail of each bill. If there is more than one distribution account in the bill it simply shows as 'Split.'

 

Ultimately, I need a report for every line item on an expense/bill with the following columns:

 

Date, Vendor, Transaction Type, Number, Memo/Description, Account, Amount

I'm here to help pull up the report you need in QuickBooks Online (QBO).

 

Based on the information you've shared, you can run the Purchases by Vendor Detail report. This will show all the line items entered on the bill, check, or any expense transactions created in QBO. Then, customize it to add all the columns you've mentioned above.

 

Here's how to do it:

 

  1. In QBO, go to the Reports menu at the left pane.
  2. In the search field, type Purchases by Vendor Detail, then select it on the drop-down to open.
  3. Choose your preferred date in the Report period section.
  4. Tick the Settings or Gear icon next to Export.
  5. Place a checkmark on DateVendorTransaction TypeNumberMemo/DescriptionAccountAmount.
  6. Click anywhere to refresh the report.

With QuickBooks Online,  there is a variety of reports you can access and customize to suit your business needs. Just make sure to set the correct Report period so you'll get accurate data.

 

If you're unable to see that, let's try the browser troubleshooting. We can start by accessing your account through an incognito window to rule out the possibility of a webpage issue. You can refer to these shortcut keys to open an incognito window in all supported browsers:

 

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: ⌘ + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P

 

If it's responsive, I recommend that you clear it's cache. By clearing the browser's cache, you can remove that historical data and access QuickBooks with a clean slate. You can also try using a different supported browser. This way, you can check whether this has something to do with your browser.

So, are you confirming that the Vendor Purchasing Detail report SHOULD contain more data than just purchase orders?

 

I have the dates right, there is no data.

 

I simply want a report of vendor transactions (bills/expenses) with line item detail.

There’s another report that we can generate to see the details you mentioned above. That said, you can run a Transaction List by Vendor report. 

 

This shows vendor payments, bills/invoices, numbers, and even their statuses. You’ll just have to make sure to filter the details so everything will show up. Here's how:

 

  1. Go to your Reports menu.
  2. Enter/select Transaction List by Vendor in the search field.
  3. Select Customize, then filter the necessary details.
  4. Press Run report.
