Web Connector closing on hosted server

We have noticed that when the IT administrator signs out of the server for some time, the web connector seems to close. Upon signing back into the hosted server, it re-opens and begins syncing. Is there a way to prevent the web connector from closing?

Web Connector closing on hosted server

I've got some steps on preventing your web connector from closing, chowland.

There are three available environment hosts in the QuickBooks Desktop, chowland. Which are Dedicated hosting, Peer-to-peer hosting, and Alternate hosting. You can check this article to determine what kind of hosting modes you're using: Host your company data in multi-user mode in QuickBooks Desktop.

To prevent your web connector from closing, I recommend correcting your mapping and folder permissions. Let me help you on how to do it:

First off, if you already set up your QuickBooks Desktop on a server, we can now proceed with mapping a network drive in your Windows.

If you're using Windows 11, here's how:

  1. On your keyboard, press the Windows icon.
  2. Enter This PC in the search bar. From the search results, choose This PC.
  3. Select More (...) then select Map network drive.
  4. Note: If you don’t see Map network drive, you can right-click This PC and select  Map network drive.
  5. Select a drive letter in Drive.
  6. You can either:
    a. enter the full path of the folder you want to map or
    b. enter only the path to the computer the file is hosted form and select Browse to find the folder
  7. Select Reconnect at sign-in to keep the drive mapped every time you sign in to your computer.
  8. Select Finish.

But if you're using Windows 10, you may check this article for more details:  Map a network drive in Windows

Next is setting up the folder permissions. Ensure that the folder with your company files has permission to be on your network. Here's how:

Verify that permissions are set correctly

  1. Open the Windows Start menu and open File Explorer.
  2. Right-click the folder that contains the company file. Then select Properties.
  3. On the Security tab, select Advanced.
  4. Select QBDataServiceUserXX and select Edit.
  5. Set the following settings to Allowed:
  • Traverse Folder/Execute File
  • List Folder/Read Data
  • Read Attributes
  • Read Extended Attributes
  • Create Files/Write Data
  • Create Folders/Append Data
  • Write Attributes
  • Write Extended Attributes
  • Read Permissions

If your permissions aren’t set correctly:

  1. Right-click the folder that contains the company file and select Properties.
  2. Select Security, then Edit.
  3. Choose QBDataServiceUserXX and select Full Control, then Allow.
  4. Select Apply, then OK.

Take note before performing any steps, please check this article first: Set up folder and Windows access permissions to share company files.

Should you need additional assistance with your web connector in the QuickBooks Desktop, feel free to include them in the comments below. Stay safe!
