WEX Fleet Card Feeds

I use QuickBooks Desktop for Contractors. I am able to upload the American Express credit card transactions, but I need to be able to upload it for our WEX Fleet card transactions. Does anyone know how to do this? I am able to download a report from WEX in the .xls format, but what do I do from there?

I'll share some information about importing transactions. Currently, you can only import using these formats for bank or credit transactions.

 

  • QBO format
  • CSV
  • QFX

Since you have an Excel format, you'll want to either convert it first to CSV file before uploading or use a third-party application. Please check out the website for the steps to convert.

 

To view an app, here's the link: Apps for QuickBooks Desktop.

 

Meanwhile, here's how to manually import bank or credit card transactions into QuickBooks: 

 

  1. Download the Web Connect file from the financial institution. This file will have a QBO, CSV, or QFX extension.
  2. In QuickBooks Desktop, go to the File menu then Utilities.
  3. Choose Import and then pick Web Connect Files… (You can also go to the Banking menu, see the image below.)
  4. Look for the QBO file you saved in Step 1 and then select Open.
  5. When prompted to Select Bank Account:
    • If the account is already setup, click the Use an existing QuickBooks account radio button then from the drop-down, select the appropriate bank account.
    • If it is not, click the Create a new QuickBooks account radio and enter the bank account name.
  6. Click Continue.
  7. When the import is complete, go to the Bank Feeds Center to review your transactions.

I have the same issue, trying to set up bank feed for new WEX Fleet acct.  Were you able to get yours set up? I see that you can export into CSV file now. But I can't find WEX as "Bank Name" in the bank feed set up.  What did you select here?  Also did you set up the original account solo or did you have to add each card in the fleet?  Thank you for any advice you can give on this cc.

I have been stuck trying to do this same thing! It was linked prior, (so I know it's possible). Our old office lady quit and unliked it...

I'd love to help you with your concern, but can you please share more information about it? Are you trying to connect the unlinked bank account or do you want to import your bank transactions? Also, if you can share some screenshots of the issue, it would be greatly appreciated.

Our office lady quit in June, and the banking link we had for Stripes stopped working then. When I pull it up in the chart of accounts it has the green rectangles indicating it was linked at some point, correct?

I have tried looking up everything I can think of and chatted and screen shared with a QB representative. The representative helped me unlink in hopes we could relink it. When I went to relink it, QB doesn't show that to be added. 

All in all, I think I am trying to link a Stripes Universal gas card account. ANY help would be greatly appreciated!

I appreciate you for contacting our phone support team to resolve this issue.

 

This time, let's re-sort the list of your bank register to their default order and undo changes you made. It can often repair issues in your list that prevents you from reconnecting your bank account.

 

Here's how:

 

  1. rom the Banking menu, select Write Checks.
  2. Select the Pay to the order of field, then press Ctrl + L on your keyboard.
  3. Select the Include Inactive checkbox. If it's grayed out, there are no inactive names.
  4. Select the Name dropdown, then select Re-sort List.
  5. Select OK.
  6. Close and reopen your company file.

 

If you're still unable to link the account, you can run the verify and rebuild steps. Here's an article for the detailed steps: Verify and rebuild.

 

Let me know whenever you have concerns with bank feeds.

  • I am not answering this question but am also asking it. I have called Wex EFS card customer service and got the run around. They are a part of Wells Fargo Bank but actually connecting to impossible. You need a Wells Fargo Bank Account. I also asked them if they were FDIC protected or if my account was.  I got transferred to 4 different departments. The last one being their Corporate Head Quarters Sales Department. The gentleman refused to give his name placed me on hold while he research my question and disconnected me. So how do you connect this bank or is it even a BANK?

Hi, @dvieira6001. I appreciate you joining the thread today. I value your effort in trying to connect with multiple representatives for help. Let me give you insights about connecting bank accounts to QuickBooks Desktop (QBDT) and getting started with organizing your Wex EFS card entries.

 

I want you to know that QuickBooks only accepts connections with Visa, MasterCard, Discover, and AMEX cards. I can see your interest in linking your EFS card to our system. While the option is unavailable, you can either record your transactions manually or prepare a Web Connect (.QBO) file, then import them to our system.

 

  1. From Banking, select Bank Feeds, then Import Web Connect Files.
  2. Select the .QBO file you saved, then select Open.
  3. When asked to select your bank account:
    • Use a QuickBooks account that exists if the account you're importing transactions into is already set up in QuickBooks.
    • Create a new QuickBooks account if the account you're importing transactions into isn't in QuickBooks yet. Learn how to create an account.
  4. Select Continue. You'll see a dialog box telling you that the data has been successfully read into QuickBooks. Select OK.
  5. Go to the Bank Feeds Center to review your transactions.

 

 I also suggest sending a feature request directly to our product developers. This way, they can determine what enhancements and improvements are needed to make our product more effective and convenient for our users. 

 

Here's how:

 

  1. Open your QBDT file.
  2. Go to the Help menu and select Send Feedback Online.
  3. Click Product Suggestion.
  4. Enter your suggestion, then click on Send Feedback.

 

Once your transactions are available in QuickBooks, you're now ready to review or categorize them through the Banking menu. I'm adding this article as your guide: Add and match Bank Feed transactions in QuickBooks Desktop.
