I know how to create and customize email templates under Preferences.
However, I don’t know how to find and utilize those custom templates later. Specifically, I would like to use the templates for the Overdue Invoices transaction type. I have made several custom templates for this transaction type, and those templates are never available to use. The default template provided by QuickBooks is not accessible either. The only templates ever available are for the Invoices transaction type, which is apparently not the same as the Overdue Invoices transaction type. I cannot find any information regarding this online anywhere.
I have the steps you can perform to fix your custom email template issues in the program, @pantone06.
Here are a few possible reasons you're unable to access the Overdue Invoices templates, and the program uses the Invoices transaction type:
First, let's copy and paste the correct message before sending the email. This way, it will apply to your Overdue Invoices template. I'll guide you how.
Second, let's reset the Email Later settings to refresh them. Here's how:
For the detailed instructions, check out this article: Fixing Custom Email Template Issues.
However, if the issue persists, I'd suggest deleting the Overdue Invoices templates. Just go back to Company Preferences from the Send Forms tab. Then, locate the template and click Delete (see the screenshot below). Repeat the process for the other templates.
After that, recreate the templates so you can apply them when emailing invoices to your customers.
As always, you can go to Templates from the Lists menu. From there, you can edit, delete, duplicate, import, and export templates. It helps ensure your templates are up to date in the software.
I'm here anytime you have other concerns. Enjoy the rest of your day, @pantone06.
This did not help.
I did follow step 1 which worked fine but copying and pasting the template defeats the purpose of the template. I also reset the Email Later function, which didn't make a difference.
So I deleted the templates. And apparently you cannot delete ALL of the templates because whichever one is set to default cannot be deleted, and at least one has to be set to default. So I deleted most of the templates, and re-entered one of those. This did not help. I closed and opened QuickBooks, which did not help.
But since all of my templates are deleted now, I re-entered one of my Overdue Invoices templates, this time under the Invoices transaction type. Now I can access this template when I go to email my invoice. It doesn't matter whether I email it now or email it later, I have access to this Overdue template. It doesn't matter if the invoice is overdue or fresh, I have access to the template.
So, I am going to put all of my OverDue Invoices under the Invoices transaction type, and that will resolve my issue. My only remaining question is Why? Why is there an "Overdue Invoices" transaction type for email templates at all? Or an "Almost Due Invoices" transaction type? It seems they're totally inaccessible, and having them just confuses things.
Thank you for getting back to us, @pantone06.
Email templates allow customization when sending emails. You'll need to manually select the overdue invoice template when sending an email.
If you're having issues in selecting the Overdue Invoice template, you may need to update your product to get the latest release version. This process is separate from upgrading to the newer edition of QuickBooks Desktop.
Here's how:
You can also send a batch email of Overdue Invoices to speed up your work. Let me guide you on how.
Please let me know if you need further assistance. Have a great day.
I have an issue with the response you gave, it seems you can't include the payment link when sending a batch of overdue invoices from the Income Tracker, if there is such an option, PLEASE LET ME KNOW!!!
