Add a bill to a check payment already reconciled.

Hello there, bjp2poodles.

Yes, there's a way to attach a Bill to a check payment that is already reconciled in QuickBooks Desktop. Let me provide the steps to ensure you can achieve this on your end.

To start with, you'll need to open the reconciled check payment and ensure that it's assigned to an Account Payable account and a specific vendor, who should be the same person as the bill's owner.

Here's how:

  1. Click the Banking menu at the top.
  2. Choose Use Register and select the particular account. Then, click OK.
  3. Locate the reconciled check payment and double-click to open a window.
  4. Go to the Account column and make sure that AP is selected.
  5. From the Customer;Job column, choose the vendor name.
  6. Click Save and Close.

Once done, the system automatically creates an available credit for a vendor. I recommend linking it to the bill so that the entry is tagged as paid, indicating that it is associated with a reconciled payment. Please follow these steps:

  1. Select the Vendors menu and choose Vendor Center.
  2. Locate the vendor profile and double-click it to see all the transactions connected to the person.
  3. Choose the bill transaction and click the Pay Bill option that is located in the upper right corner.
  4. Click the Set Credits button.
  5. Choose the Credits section and make sure to put a checkmark in the Checkmark column.
  6. Click Done.
  7. Select the Pay Selected Bills button.
  8. Choose Done and Save and Close.

In case you need steps on how you can run reports that tell you where your company stands, in terms of expenses and accounts payable, you can read this article: Customize vendor reports.

Feel free to get back to me if you have other concerns related to vendor transactions in QuickBooks Desktop. and I'd be glad to assist you further, bjp2poodles. Have a great day!
