Apply payment for services rendered

Hi qb community, I'm wondering if there is a way to apply a payment in quickbooks online without an invoice. Can I apply a payment to a service category instead of an invoice?

Apply payment for services rendered

Good day to you, @rhonda-lou-abt.

I'd be glad to share some insights on how you can apply a payment for services without making an invoice in QuickBooks Online (QBO).

Based on your statement, you can use the sales receipts since you received full payment at the time of the service rendered. Let me guide you on how:

  1. Click the + New button, then choose Sales Receipt.
  2. Choose a customer from the dropdown.
  3. Enter the sales information, such as the payment method.
  4. Select the service item under the Product/Service section.
  5. Once done, click Save or Save and Close.

For more details about this process, please refer to this article: Create and send sales receipts in QuickBooks Online.

On the other hand, if you've recorded the payment using a bank deposit, you'll need to create an invoice. This way, the payment will be linked to the service item.

Moreover, you can personalize and add specific info to your invoice and other form styles in QBO. To know more about it, you can check out the detailed steps in this article: Customize invoices, estimates, and sales receipts in QuickBooks Online.

Don't hesitate to reply anytime if you still have questions or clarifications about recording transactions in QBO. I'm always here to help. Have a wonderful day ahead!
